- Screening and evaluating applicant files and documentation (both domestic and foreign) to determine entrance requirement eligibility.
- Monitoring enrolment activity by ensuring that programs are filled to capacity in an efficient and timely manner by required deadlines.
- Evaluation and preparation of program plans as required
- Assessing and making selection decisions into program intakes or assessing and determining when files are “decisionable” and forwarding applicant information to program areas where selection is done by program area.
- Advising students of transferability of courses into BCIT programs; determining and entering of transfer credits for accepted advanced placement and readmit applicants.
- Maintaining electronic and hard copy applicant files by ensuring that all pertinent documentation, information and correspondence is received, and that it is updated and processed on a continual basis.
- Maintaining waitlists and space reservation files.
- Liaise, collaborate and follow-up with various internal departments and outside agencies on an on-going basis.
- Ensuring that accepted applicants have fulfilled financial obligations to the institute by required deadlines.
- Registering of full-time and modified students into courses associated with their program.
- Withdrawing accepted applicants who have not paid their fees and/or met conditions of provisional acceptance, and backfilling vacated seats with qualified applicants.
- Processing applicant start date deferral requests, program cancellations, and adjusting waitlists as changes occur.
- Corresponding with students who have failed and have had their program status affected with respect to continuing their studies.
- Performing graduation audit as required. This includes confirmation that all program requirements have been met in accordance with program plan, requirements have been completed within the designated timeframe, determining eligible courses to be used in the calculation of the GPA and coding students on Banner with graduation and honours status (when appropriate).
- Handling day to day issues that arise in the Admissions Office when the Supervisor and Senior Admissions Officers are unavailable (this will occur on a rotating basis with the other Admissions Officers).
- Referring applicant and department/program area appeals/waiver requests to the Supervisor for recommendation to the Registrar.
- Completing assigned projects resulting from Admissions or other meetings, Registrar’s office requests.
- Undertakes related duties as assigned, consistent with the job grade of this position.

**Qualifications**

**QUALIFICATIONS***:
**Definition**:
The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.
- **Education**:

- Requires the equivalent of full secondary school plus additional specialized training of up to 1 year’s duration, i.e., BCIT Certificate or a one year full-time program from a community college.

**Experience**:

- Requires two years experience plus up to two years practical, current experience on this and related jobs inside or outside the institute.

**Software/Computer Application(s) and Expertise**:

- Experience using BCIT reporting tools is desirable. Knowledge and experience with an on-line student records system (Banner preferred).
- Formal training and proficiency using Microsoft Office products is preferred.

**Communication/Interpersonal Skills**:

- Excellent communication skills; proven ability to work independently and in a team environment.
- Ability to deal effectively with various levels of staff, faculty and administration; and exceptional customer service skills.

**Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.)**:

- Must have a strong aptitude for planning, organization, attention to detail and prioritizing tasks in order to meet deadlines.
- Must have good judgement and show initiative.
- Excellent problem-solving and troubleshooting abilities.
- Must be adaptable to rapid changes in institute and department initiatives and in technology related to the Registrar’s Office.
- Accurate keyboarding skills 50 wpm required.
