**Job Description**:
The Project Coordinator is accountable to and draws authority from a Project Manager and the Construction Manager, regarding issues such as safety, quality, progress, cost, schedule and any other project matters.
The Project Coordinator provides overall support to the project and assists the project team with overall project performance including costs, schedule, quality and project status.
The Project Coordinator is accountable and responsible for:
**Design**
- To maximize all opportunities while mitigates all potential risk, the PC’s are familiarizing themselves with the contract documents including but not limited to:
- Project Agreement
- Trade Contracts
- Scopes of work
- Procore Technology and Management
- The PM’s are attending weekly design meetings with a view to funnel the design towards a point where the agreements set in the documents are achieved. These meetings are minute by them and they follow up on action items agreed in the meeting. It’s the Role of the PC’s to assist with this process.
- As per the agreed milestone schedule design submissions are reviewed by the PM’s and the user groups prior to formal submissions. Comments arising from the Crown review process are then taken under advisement and design changes are implemented appropriately. It’s the role of the PC’s to assist with this process.
**Procurement**
- Once design documents are developed to a point where procurement is reasonable considering the risk for potential changes related to design development, the documents are issued for tender.
- At the time of prequalification, the PC’s are compiling scopes for each tender package based on complex constraints derived from the various resources. Participation in the design meetings gives them the advantage of being already familiar with the design documents and the path that lead to the final content of them.
- PC’s are arranging internal scope review meetings with the field and the risk management team together to vet the packages before they are issued to the bidders. This process has the intent to guarantee synchronization of all efforts input by the various sections of the entire team.
- When tenders are closed the PC’s would arrange bid review meetings with the running up bidders and subsequently prepare a bid recap sheet.
- An award recommendation letter is then prepared summarizing all their findings for the upper management to make the award.
**Operations**
- Once the successful bidder is awarded a start-up meeting is arranged with all the stakeholders (safety, quality, security, etc.). This meeting outlines the administration procedures throughout the lifecycle of each subcontract.
- PC’s are finalizing and issuing the subcontracts on a timely manner.
- PC’s are responsible to mentor and guide their Field Engineers who are involved in the day-to-day coordination of their subcontractors. PC’s will follow up with the trades on all the submission requirements, answer and/or route RFI’s and SDS’s to the consultants and keep all contract documents up-to-date for the field staff with the document controllers.
- PC’s would prepare and communicate a mutually agreed billing breakdown to accounting. Each billing is vetted and approved by the PM’s as well as the field staff.
- During the works the PC’s are responsible to manage the changes that arise due to various reasons. Each change is formally communicated to the trades describing the scope involved and the relevant contract document changes as applicable. PC’s help the Field Engineers to maintain a log of estimated values for each anticipated subcontractor quote.
- PC’s are responsible to chair meetings with their subcontractors on an agreed upon basis. The nature of these meetings might be related to site coordination and/or financial issues.
- Depending on the strategy applied to the subcontracts, the PC’s and/or the senior PM will negotiate the value associated with the subcontract revisions.
- PC’s are monitoring the documents necessary for the close-out process. Some of the documents are being compiled after the shop drawings are returned and the scope is built in. By the time construction activities are complete most of the close-out documents would be gathered as discussed in the start-up meeting.
