Project Description
The Office of the Registrar provides a number of services to both prospective and current students and is the primary information source on enrolment, convocation ceremonies and important student dates and events throughout the year. The Office of the Registrar comprises 8 departments: Student Services, Aid and Awards, Student Recruitment, Undergraduate Admissions, Records, Systems, Scheduling & Examinations, Student Communications and Central RO Administration and has a staff compliment of approximately 100. This dynamic team works together to provide assistance to students from the beginning of their time at McMaster University until they graduate.
General Description
Responsible for the design of programs and services for students, and the administration, processing and delivery of multiple government and institutional aid and award programs including scholarships, grants, work study, general bursary and emergency/special consideration bursary programs that promote financial accessibility and student retention. Coordinates, awards, and disburses provincial, federal, and institutional financial aid assistance programs. Creates and maintains the standard need methodology for the institution to use in assessing student eligibility for need-based aid. Provides guidance and advice to parents, staff, guidance counselors, applicants and a diverse continuing education, undergraduate, medicine and graduate student population ensuring that they have access to the appropriate information and financial supports to successfully achieve their educational goals.
Representative Duties & Responsibilities
- Design programs and services to assist current and prospective students to obtain and manage their resources throughout their post-secondary career.
- Develop detailed action plans and independently initiate the cycle for each aid and award program.
- Coordinate and administer aid and awards in partnership with external agencies
- Analyze how University, Ministry, and stakeholder policies interact with a students ability to obtain and sustain funding and identify potential issues and develop solutions.
- Conduct analyses to determine the most appropriate and effective financial assistance options available to students.
- Develop customized strategies to help students overcome financial obstacles.
- Interview students regarding financial issues, family history, personal choices, academic issues, and assess and evaluate the information provided.
- Allocate employer funds within budget, review and approve job postings, review approve student employment offers and eligibility related to work program participation, process work program hire records, monitor student enrolment and eligibility during the work program period, process payable time records, transfer work program subsidy funding to employer accounts, reconcile operating and trust work program fundsand complete Ministry reporting as required.
- Monitor payments and overpayments and determine student eligibility for government and University aid and awards
- Interpret information provided through various government policy documents and processing guidelines to ensure that existing office procedures comply with inspections, audits, and government policies.
- Provide confidential advice to students including, but not limited to, course and program requirements, family and status changes, academic performance and income and the impact that these changes have on aid and award eligibility.
- Provide information to students regarding aid and award opportunities, aid and award policies and procedures, appeal processes, and navigating aid and award-related issues.
- Provide advice to others about funding program requirements and options.
- Monitor enrolment changes and funding eligibility by running and reviewing daily reports, cancelling/adjusting disbursements through financial aid and students’ accounts and and returning funds to University operating accounts and trust funds.
- Estimate expendable funding available and determine allocations in order to maximize funds.
- Authorize and disburse one-off and batch payments.
- Approve requests for emergency funding, which includes determining the source of emergency funds and arranging for expedited release of funds through Student Accounts.
