What you will do:

- Open and maintain company work orders and task cards in the Maintenance, Repair, and Operations (MRO) Software System.
- Ensure all task cards, log pages, and work packages are completed, accounted for, and digitized prior to filing to the appropriate aircraft archives
- Collect, verify, sort, and input incoming invoices into the MRO system
- Process labour timesheets
- Ensure that all parts, services, labour, and miscellaneous charges are accounted for in all Work Orders as per the Corporate Quality Assurance Manual before submitting them to the Accounting Department
- Liaise with Accounting Department
- Report aircraft flight activity to various program vendors monthly
- Scan hard copy work order packages
- Maintain and update aircraft information in various Warranty Service Plan databases
- Ensure that maintenance Work Orders balance with Accounting Department records
- Administration of the time and attendance system
- Greeting and checking in of visitors
- Handle incoming mail and courier services and distribute mail
- Route intercompany outgoing mail
- Administrative support to Vice President Maintenance and Director of Maintenance such as creating binder packages, collating documents, data entry, etc.

What you bring:

- Minimum College Certificate in Business Administration or related courses
- 1 to 2 years related administration experience working with vendor invoices, data entry, assembly of documents, basic mathematic calculations, etc.
- Related administration experience in aviation industry preferred
- Effective time management, administrative, and organizational skills with meticulous attention to detail
- Strong technological and computer skills including proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Ability to multi-task and prioritize workload
- Solid level of written and verbal communication skills
- Excellent judgement and problem-solving skills
- Proactive self-starter with excellent customer service abilities
- Strong ownership of assigned tasks, evident through responsibility and accountability for product
- Willingness to adapt to a changing environment
- Ability to maintain the highest level of confidentiality
- Able to work efficiently and effectively in a fast-paced, deadline-driven environment
- Strong keyboarding and proofreading skills; ability to produce documents quickly and accurately
- Strong, effective interpersonal skills, able to build relationships and maintain a positive attitude
