**Key Responsibilities: Marketing/ Admin Assistant**

Body First Wellness Centre is committed to promoting health and wellness through tailored fitness and rehabilitative services. We are looking for a highly motivated Marketing/Admin Assistant to join our team.

As a busy clinic with a large client base, we need a dedicated individual to help us manage the flow of activities. In your role as Marketing/Admin, you will be the first point of contact for patients, playing a key role in shaping a positive patient experience while also promoting the clinic. Your responsibilities will be diverse, including:

- Patient Interaction: Greet and welcome patients with a warm and professional demeanor, ensuring a positive and comforting atmosphere. You’ll be responsible for collecting and managing patient information for extended health insurance billing, while strictly maintaining patient confidentiality and privacy.
- Communication and Coordination: Efficiently manage phone calls, respond to inquiries, and direct calls to the appropriate staff members. You’ll also be tasked with scheduling, reminding, and following up on patient appointments, ensuring a smooth flow of clinic operations.
- Administrative Support: Help with various clerical tasks such as scheduling appointments, billing, filing, faxing, and data entry. You will also support the office team by preparing treatment rooms for practitioners, delivering exceptional customer service to patients and visitors, and managing laundry duties as needed.
- Patient Engagement: Actively follow up with patients to gather feedback, encourage rebookings, and inform them about current promotions. You will also verify patient coverage with insurance companies as needed and manage the check-in and check-out process, including billing and payment collection. Marketing Assistant: In this role, you will help shape and communicate our clinic’s brand and offerings. Your responsibilities include:

- Content Creation and Management: Manage the clinic’s content calendar by creating engaging copy and visuals, including videos for social media platforms such as Facebook, Instagram, TikTok, and LinkedIn. You will be responsible for ensuring a consistent brand image across all channels.
- Influencer and Community Engagement: Develop and maintain a network of influencers to expand the clinic’s reach and visibility. You will also draft and post bi-weekly blogs on our website, providing valuable content to our community.
- Design and Marketing Materials: Design monthly newsletters using Mailchimp and create company flyers and other marketing materials. You will also actively update and manage our website using WordPress, ensuring that all content is current and engaging.

**Requirements**:

- Availability: Must be available to work on weekdays and weekends.
- Must be able to travel between two clinic location North York and Scarborough
- Experience: Proven experience in a customer service role and marketing, preferably within a medical or healthcare setting. Experience with design work and content creation is essential.
- Technical Skills: Proficiency in Canva, CapCut, Mailchimp, and WordPress. Familiarity with medical scheduling software like Jane App is an asset.
- Optimize website content for SEO to enhance organic search visibility and improve user experience.
- Attention to Detail: Demonstrated high accuracy in reviewing paperwork, copy, and content. You should possess excellent time management skills and a high degree of self-motivation to handle multiple tasks efficiently.
- Strong initiative and a willingness to learn
- Communication Skills: Exceptional communication and interpersonal skills are essential for interacting effectively with team members, clients, and visitors.
- Technology Proficiency: Comfortable with technology and quick to learn new tools.

Proficiency in Microsoft Office programs is required for various administrative tasks.
