The **Administrator/Operations Manager**is accountable for the efficient day-to-day operations and administrative functions of the company. This role involves coordinating projects, managing resources, scheduling staff, optimizing operational workflows, and ensuring effective communication within the team and with clients. The Administrator/Operations Manager plays a crucial role in supporting the company's profitability and customer satisfaction by maintaining high standards of service delivery and operational efficiency.
**Operations Management**:
- Develop and manage project schedules, optimizing resource allocation (personnel, equipment, materials).
- Coordinate and dispatch field technicians for Maintenance projects.
- Implement operational procedures for efficiency, quality, and safety.
- Primary contact for project inquiries and issue resolution.
- Monitor project progress, identifying and resolving delays.
- Assist in developing operational KPIs.
**Administrative Management**:
- Manage office administration (filing, correspondence, supplies).
- Maintain accurate client records, project documentation, and operational logs.
- Support financial department with invoicing, billing, and expense tracking.
- Assist HR with onboarding, employee records, and training.
- Ensure compliance with regulations.
**Client & Vendor Relations**:
- Maintain positive client relationships, ensuring needs are met.
- Manage vendor and subcontractor relationships.
- Process service requests and ensure follow-up.
**Support & Reporting**:
- Provide regular operational/administrative reports.
- Identify and implement process improvements.
- Support team with necessary tools and information.
**Requirements**:
**Experience**
- 5+ years in an administrative or operations management role, preferably within property maintenance, general contracting, or a related service industry.
- Proven experience with scheduling, resource allocation, and project coordination.
- Familiarity with business software and systems relevant to operations and administration (e.g., CRM, project management software, accounting software).
**Education**
- Post-secondary education in Business Administration, Operations Management, or related field.
- Project management or office administration certifications are a plus.
**Characteristics**

- Excellent communication and interpersonal skills.
- Proactive problem-solver, able to prioritize and manage multiple projects.

Pay: $32.00-$35.00 per hour
Expected hours: 40 - 50 per week
