The DDSB is seeking a collaborative Project Manager - System Implementation 24 Month Contract

Reports to Associate Director, Corporate Services

Department Corporate Services

Regular office hours with variations to meet business needs; Hybrid - In person work as required.

Job Purpose

The Project Manager - System Implementation will be responsible for ensuring a successful transition and migration of systems into an Enterprise Resource Planning (ERP) Cloud solution. This involves understanding business processes, streamlining workflows and ensuring best practices for corporate services, including Accounting, Procurement, Payroll and Human Resources. The Project Manager will work closely with IT Services, and internal and external implementation teams to ensure that all project milestones are completed on time, within scope and within budget. As a key point of contact for all project-related activities, the Project Manager will facilitate communication between implementation team members, stakeholders, and senior leadership.

Accountabilities

Working with the external vendor, develop and maintain a detailed project plan including timelines, milestones, deliverables, and resource allocations.

Coordinate with cross-functional teams to ensure a clear understanding of business processes, needs and project objectives.

Working with the Change Management team, lead discussions related to internal re-engineering of workflows to align business processes with industry best practices and maximum system functionality.

Identify key resources and documentation necessary for data gathering to ensure compliance with all collective agreements, legislation, Ministry directives and business requirements.

Determine people resources and allocation necessary for key project milestones and organize internal working groups to align with project timelines.

Collaborate with key stakeholders and manage data gathering requirements.

Promote alignment with out-of-the-box solutions to maximize system functionality and minimize customization.

Work with external vendor and internal IT Services team on the development and execution of a data migration strategy to ensure accurate and reliable transfers of large volumes of data.

Manage vendor relationship, ensuring collaborative communication, transparency, and negotiation, to contribute to a successful delivery of the project.

Collaborate with department leadership to identify impact of system workflow changes on people resources and determine optimal allocation of resources within updated business processes.

Oversee all testing and parallel workflows to ensure data accuracy, integrity and consistency during the migration process.

Accountable for providing regular status updates to department leads and senior leadership.

Identify and manage project risks and barriers, proactively identifying and communicating mitigation strategies to senior leadership for approval.

Education and Experience

Completion of undergraduate degree in Engineering/Computer Science/Information Systems/Business Administration, or a combination of education, training and experience deemed to be equivalent.

Project Management Professional (PMP) certification is required.

Total Quality Management (TQM) or Six Sigma Certification would be considered an asset.

Minimum 5 years of experience in a formal Project Management role.

Proven experience as a Project Manager leading a successful, complex ERP implementation.

Experience with Oracle ERP Cloud and related technologies is an asset.

Knowledge and Skills

Proven track record of delivering customer service excellence, supplier relationship management, and the ability to engage stakeholders in a project management capacity.

Demonstrated, superior, leadership skills with the ability to navigate multiple priorities and motivate teams and stakeholders to meet project deliverables on time and within budget.

Ability to guide ERP stakeholders and implementation teams through entire project lifecycle from initial analysis, solution design and configuration, data migration, training, testing and operational readiness.

Understanding of Accounting, Payroll and HR processes and the complexities of a publicly funded, unionized environment.

Strong understanding of testing methodologies.

Demon
