The Millcroft Inn & Spa is seeking a **Special Events Manager/Sales Coordinator **who will be responsible to assist in the smooth operation of the sales department by preparing group files, assisting with direct mail programs and incoming calls, inquiries, and filing.
- **Please note this position requires evening and full weekend availability**_

**Primary Responsibilities**:

- Prepares proposals, contracts, estimates, blocks space, contract addendums for sales manager and does follow-ups with Guests and/or Clients.
- Direct back up for Sales Manager
- Responds to inquiries, provides quotations, block space, proposals, contracts, estimates, etc.
- Meeting established up-selling and sales goals.
- Follow up on contracts/proposals that are due to be returned
- Answer all questions and concerns for potential clients.
- Takes inquiries for corporate, wedding and social functions
- Conducts site tours as a back-up on behalf of sales managers and walk ins
- Coverage as a back-up on behalf of Wedding & Social Sales Manager and Conference Services Manager when they are out of office
- Replenishing marketing material
- Maintains and updates all necessary sales tools including but not limited to menus, yield management info, sales kits and brochures.
- Ensures that all definite files are distributed each day.
- Works closely with the Food & Beverage Manager to ensure details are completed for all events.
- Coordinates and prepares BEO’s for all functions booked by the Group Sales team.
- Works with all outlets to finalize all details of function.
- Books all outside activities and prepares appropriate paperwork for billing purposes.
- Attends daily Operations and Function meetings.
- Handles all walk-ins and inquiries.
- Is on site for co-coordinated events.
- Assists with complaint resolution.
- Assists Servers, Bartenders, Porters and Bussers as required during peak times.
- Meets deadlines and quotes set by Food & Beverage Manager.
- Ensures all Guest-related problems are brought to the attention of the Food and Beverage Manager in a timely manner.
- Assessing Guests’ individual needs to meet standards for additional products and services.
- Print and format menus for dining room, Conference Package and in house groups.

**Professional Requirements**:

- **Availability on evenings and weekends**:

- Secondary school diploma or equivalent combined with at least six (6) months experience in a similar position
- Excellent communication skills both oral and written.
- Extensive food and beverage knowledge.
- Knowledge of all aspects of conference and catering groups.
- Previous background in banquets/catering industry
- Good computer skills at intermediate level in word processing.
- Knowledge of computer programs such as Maestro, Microsoft Word and Excel an asset.
- Previous up-selling and/or sales experience is considered an asset.
