We are looking for an Office Manager to join our growing accounting firm. This is a unique opportunity for a highly motivated and ambitious individual to help take our accounting firm to the next level.
**Responsibilities**:
- Administrative Responsibilities_
- Providing administrative assistance to upper management
- Delegating tasks to staff members and ensuring they are completed in a timely manner
- Communicating with clients for documents, information and signatures
- Establishing business relationships with partners and service providers
- Developing and implementing new work policies, procedures and workflows
- Preparing presentations and reports to upper management, staff members and external contacts
- Organizing office meetings and company events
- Supervising staff members which may include recommendations for hiring, performance evaluation, training, work allocation, and problem resolution
- Organizing and arranging digital records in their appropriate systems
- Enhancing personal growth and professional development by participating in workshops, in-service meetings, current literature, and educational programs.
- Creating company resources including checklists, worksheets and templates
- Researching new ideas that facilitate company growth, increases work efficiency and enhances customer experiences
- Handling all technical/IT matters and resolving issues together with IT department
- Collecting, entering and maintaining client information in the databases
- Handling accounts receivables and contacting clients for payment collection
- Performing additional job-related duties as assigned
- Marketing Responsibilities_
- Conducting market research to identify marketing opportunities
- Researching, and developing strategic marketing and brand strategies
- Implementing marketing plans that include print, broadcast and online content
- Handling of all digital and social media marketing using LinkedIn, Facebook and Twitter
- Preparing and organizing presentations for online webinars to the public
- Creating short monthly videos to post online
- Managing the company website
- Coordinating with SEO providers regarding marketing campaigns
- Monitoring and responding to the online chat
- Project Responsibilities_
- Researching and identifying new technology, resources and systems to increase work efficiency and enhance customer experience
- Assisting with project developments to ensure more efficient service and organization at the firm
- Maintaining administrative workflow by studying methods, implementing cost reductions and developing reporting procedures
- Creating and revising systems and procedures by analyzing practices; researching solutions, evaluating personnel and technological requirements and implementing changes
**Job Qualifications**
- Bachelor's degree in business administration, marketing, communications, or a related field
- 2+ years of experience in administrative support roles; prior administrative experience at accounting firms would be considered an asset
- 1+ years of experience in marketing role; prior marketing experience at accounting firms would be considered an asset
- Quick learner, who is highly motivated and ambitious
- Must have strong organizational and project management skills
- Must be very detail-oriented
- Excellent interpersonal, written and verbal communication skills, as well as outstanding copywriting and proofreading skills
- Strong analytical and problem-solving skills
- Must be proficient with office technology and different software
- Must be very proficient with Microsoft Office365 (MS Excel, MS Word, MS PowerPoint, MS Teams etc )
- Must be a self-starter, proactive and able to independently move projects forward, prioritize tasks, and meet deadlines
- Strong task and time-management skills
- Must have a high level of creativity
- Ability to adapt to changing environment and trends
- Ability to develop business relationships with clients and provide professional judgement
**Job Types**: Full-time, Permanent
**Salary**: $55,000.00-$75,000.00 per year
