School District 69 (Qualicum) is centrally situated on east Vancouver Island and covers the area of Nanoose Bay to Bowser and spans from Errington across the Strait of Georgia to Lasqueti Island. We serve a student population of approximately 4700 students. School District 69 (Qualicum) consists of eight elementary schools (Grades K-7), two secondary schools (Grade 8-12), an alternate school (PASS/Woodwinds) and a Distributed Learning program to support home-learning families called the Collaborative Education Alternative Program (CEAP). False Bay School on Lasqueti Island is entirely off-grid with an immense solar project recently completed. **JOB FUNCTION**:
An employee in this classification provides secretarial and accounting services, and administrative assistance in

the area of special programs.

**REPORTING TO**:
District Principal, Learning Services & District Principal, Indigenous Education

**ILLUSTRATIVE EXAMPLES OF WORK**:
1. Schedules appointments and meetings, processes confidential material, implements new or improved

office methods and procedures.

2. Composes routine correspondence and transcribes correspondence from various agencies.

3. Updates and maintains information on district or ministry software as necessary.

4. Identifies the need, organizes the information required, and develops the form, database or template

necessary to compile and track information.

5. Manages and manipulates the data necessary for the program or department needs.

6. Performs routine clerical tasks including processing mail, filing, operating standard business equipment,

and responding to routine enquiries.

7. Maintains caseloads for special education teachers and lists of District Education Assistants, Indigenous

Liaison Worker, special education personnel, including assignments and worksites.

8. Monitors program budgets and orders books, supplies and materials as approved by the supervisor.

9. Processes invoices in accordance with Board policies and procedures.

10. Performs other related duties as required.

**REQUIRED ABILITIES AND QUALIFICATIONS**:
1. High school graduation or certificate equivalent.

2. Successful completion of a one-year office administration or business certificate program at a recognized

institution.

3. Competence using current district word processing, spreadsheet, and data base software to an

intermediate level as demonstrated by successful completion of appropriate courses at a recognized

institution.

4. Minimum of two years experience within the last five years performing similar duties.

5. Minimum keyboarding speed of 50 cwpm.

6. The ability to work independently.

7. The ability to work effectively to meet deadlines.

8. The ability to work effectively with staff.
