**The Role**

As the first point of contact for clients and visitors, the Receptionist provides professional front desk service. This role is 100% in-person at IEP’s head office. The Receptionist is customer service focused and has a keen eye for ensuring that the office environment is well-maintained to support our staff and clients. The Receptionist will also provide administrative support as required.

**Key Responsibilities**

Reception Duties:

- Maintain common areas and kitchen spaces including spot cleaning, daily coffee machine set-up/maintenance, maintaining the dishwasher, and ordering / stocking kitchen supplies.
- Conduct a daily office walk-through / assessment to ensure common areas are properly set up; i.e., all printers stocked with paper and toner, fridges stocked in the boardrooms, common areas tidy and organized, and PPE stocked and accessible.
- Facilitate and arrange couriers and outgoing mail; review and distribute incoming mail.
- Proactively maintain the inventory of office supplies, including ordering, stocking, and updating the electronic inventory record.
- Provide support with videoconference and meeting set-up, including monitoring the boardroom schedule daily to ensure the room is properly scheduled and prepared.
- Assist with facilities coordination as required, including trouble-shooting various issues around the office and arranging maintenance visits with suppliers.

Administrative Duties:

- Perform digital scanning of documents; manage electronic and physical filing systems as needed.
- Assist with coordinating office events, client, tenant and broker appreciation activities, catering for meetings, etc.
- Support managerial staff with meeting and calendar management as required.
- Assist the leasing team with record-keeping, including compliance documentation.
- Perform other administrative duties as required.

**Skills and Qualifications**
- Post-secondary education in business administration or related field, OR equivalent experience.
- Proficiency in working with Microsoft Teams-based reception line and videoconference, or willingness to learn new technology.
- Proficiency in Microsoft Office 365, including Word, PowerPoint, Outlook, and SharePoint.
- Excellent communication and customer service skills with the ability to exercise professionalism, discretion, and confidentiality.
- Ability to accurately answer and/or re-direct customer and client phone calls for a variety of internal departments.
- Excellent interpersonal skills with the ability to foster collegiality and represent the company with professionalism.
- Ability to adapt to ad hoc tasks.
- Bilingualism (English/French) is an asset but not required.
- Must be able to lift up to 30 lbs. and climb a step ladder.
- Must be able to pick up or drop off packages at nearby mail depot as required.
