High Liner Foods is looking for an Operators Coordinator to join our Lunenburg Operations team
Reporting to the Manufacturing Manager, the individual in this position is responsible for providing operations, administrative and project-based support to the manufacturing facility. The primary focus of this position is to provide administrative and project-based support to the supervisors of the manufacturing department and at times support to other departments as needed.
**Essential Duties and responsibilities**
- Operations Support_
- Monitor a group of employees’ vacation days in tracking system. Send out reminders, answer questions and help troubleshoot issues with the tracker.
- Run timesheet reports weekly for contract employees.
- Prepare, organize and distribute next day production work orders to production supervisors. Check work orders for the upcoming week for errors on spec sheets or parts lists.
- Assist Financial Analyst in generation of daily metrics, where applicable. Assist with data entry and other tasks when needed.
- Maintain/file/post Microsoft Office based metrics tracking as assigned.
- Assist GM/HR with employee engagement activities including assembling PowerPoint presentations and scheduling Town Hall meetings, coordinating luncheons, field trips, outings and other activities.
- Coordinate the organization of customer/HQ and interplant visits per visitor protocol.
- Expense reporting and travel arrangements on occasion or as needed.
- Work with purchasing department as a buyer for a variety of items needed for plant and office operations.
- Support the manufacturing manager and production supervisors with tracking production data, data entry, and other tasks as needed.
- Support HR with attendance record keeping, employee Anchor Rewards program, and other tasks as needed.
- Maintain Family Fish Program.
- Update employee FB page with schedule
- Admin support for the Joint Occupational Health and Safety Committee and the Environmental Committee
- Other evolving Operations support activities as assigned.
- Administrative Support _
- Answer phone inquires and greet visitors following company policies.
- Manage distribution of the incoming and outgoing mail for the manufacturing facility
- Ensures mail and courier deliveries meant for HLF Corporate, HLF manufacturing facilities, HLF Consumer Affairs department, or other facilities are shipped and received in a timely manner. As well as handling invoice payments for couriers.
- Order office supplies, such as pens, copier paper, general office supplies, office cleaning supplies, etc. for several departments.
- Manage the receipt and confirmation of receipt into the company’s system for above items and additional items as necessary. Maintain dry storage BOL records.
- Ensure various copiers, i.e. office, dry storage, quality, and maintenance are consistently supplied with paper, and toner. Additionally, manage copier repair inquires as well as arrival and departure of repair service organization.
- Handle confidential information with a high degree of independent judgment, to ensure the integrity of all incoming and outgoing information.
- Other evolving support activities for all departments, as assigned.
**Qualifications**
- High School Diploma, Associates degree preferred
- Proficient in MS office, specifically Word, Excel, PowerPoint. Experience in ERP systems a plus
- Strong math, verbal, and written communication skills
- Results oriented
- Ability to prioritize multiple tasks in a fast-paced environment
