Unit/Project Description:
DeGroote’s Student Experience (SE) team supports all students at the DeGroote School of Business - MBA, BCom, specialized graduate programs and PhD students. As an integrated team, we champion new ideas, collaborate across boundaries and learn continually to deliver a consistent and inspiring student experience. The Program Officer works within the MBA Academic & Program team to deliver a positive experience, supporting innovative program delivery that touches all stages of the MBA student experience. Acitivies will span in-course, experiential and co-curricular activities, aligning with DeGroote's objective of achieving Education with Purpose.The role will provide direct support to students (both prior to the start of the program as well as in course) across mutliple modalities (phone, video conference, in person) and will also provide front line support to students and faculty during the weekend residencies.
Weekend work will be required one weekend per month to provide support to students during their weekend residencies. These weekends will be included as part of the incumbent's regular 5 day work week.
Job Summary:
The MBA Program Officer ensures the successful development and implementation of activities that support the unique academic program design of the MBA program. Plans and coordinates all Orientation and Foundations activities, as well as experiential learning opportunities. Responsible for supporting faculty, staff and students by coordinating all aspects of the MBA program from curriculum development through to program implementation and evaluation. Designs, implements and analyses data required for the Faculty’s accreditation process. Advises in-course students on program options and policies, ensuring a positive student experience enhanced brand reputation of the program.
Purpose and Key Functions:
- Support the Program Director and instructional faculty with program implementation including developing learning resources for Avenue to Learn and designing evaluation tools.
- Plan, co-ordinate, implement and evaluate activities to orient new students to the MBA program.
- Co-ordinate Foundations including timetabling cohorts, confirming faculty participation, identification and negotiation with external vendors delivering workshops, and communications to students.
- Inform students of course availability, academic program requirements and policies, demonstrating a detailed knowledge of curriculum.
- Review current program operations, identifies areas for process improvement, and develops implementation plans.
- Manage and maintain the faculty’s accreditation status; implement the annual Association to Advance Collegiate Schools of Business (AACSB) survey, including design and distribution of the survey tool and analyzing results.
- Negotiates external services with vendors and workshop facilitators by obtaining multiple quotes from suppliers and then negotiates for the best combination of price and timelines.
- Writes a variety of correspondence and documents, in consultation with faculty stakeholders.
- Independently develop estimates of time, resources, and budgets for various academic program activities.
- Build relationships with internal and external community stakeholders required to support the implementation of experiential activities.
- Plan and implement annual academic events and meetings.
- Promote the International Study Trip to students and co-ordinate all international logistics, including working with third party vendors.
- Review academic student accommodation requests and ensure implementation.
- Independently compile information from multiple sources to maintain the MBA Handbook, ensuring content accuracy and alignment with the SGS Calendar.
- Facilitate student program evaluations, including hosting focus groups.
- Manage exam logistics and grade submissions.
- Provide administrative support and prepare documentation for committees. in consultation with the Manager.
- Complete scheduling, coordinating speakers, room bookings and catering required for curriculum-based activities.
- Compile and analyze statistical information required for a variety of documents and reports.
- Update information, including key academic deadlines, on the departmental website.
- Write correspondence to students, draft SOPs for annual events and prepare small internal reports.
- Prepare and deliver presentations to students.
- Facilitate meetings with, including but not limited to, program stakeholders and student groups.
- Update and maintain student records and databases.
- Conduct market research, as directed by the Manager, to promote continuous improvement and future curriculum development
