Overview:
The PPL Administration Assistant will be responsible for supporting the Operations team for Horton CBI, a division of CB&I® Storage Tank Solutions (CSTS). This position is an Individual Contributor role. The role directly reports to the Sr. Director of Operations and routinely interacts with the Operation Team, Project Managers, and administrative personnel.
**Responsibilities**:
- Provides full administrative support to the Operations and Construction Team including but not limited to the Field Personnel Coordinator, Project Management and local Functional Management
- Maintains schedules of multiple managers, coordinates and organizes meetings and conference calls, including planning of offsite meetings - sales and safety meetings.
- Compiles, transcribes, and distributes minutes of meetings
- Coordinates and arranges travel for others across the organization, in liaison with travel agency, and prepares expense reports
- Assists with facilities administration as necessary
- Provides construction administration support including client billing and SAP data entry as required
- Provides daily administrative support including reception relief, preparation of routine correspondence, documents, presentations, and spreadsheets as well as filing, photocopying and faxing
- Sets up and maintains manual and electronic filing systems.
- Coordinates and processes general administrative work such as time sheets, vacation requests, supply requisitions, etc.
- Assists with organizing and coordinating social functions and special events throughout the year
- Performs additional assignments under supervisor’s direction.
Qualifications:
- 10+ years of relevant experience.
- Previous experience in an EPC environment preferrednced verbal and written communication skills.
- Related post-secondary education is preferred
- Advanced verbal and written communication skills.
Skills and Behaviors:

- Advanced knowledge of MS Office and other related software skills required
- Advanced skills in operating a variety of office equipment as needed, i.e., various printers, fax machines, scanners
- Proven self-starter with strong time management skills and ability to effectively prioritize workflow to meet tight deadlines
- In-depth knowledge of business procedures, letter, and report formats
- Strong organizational, multitasking, and interpersonal skills
- Ability to work well with all levels of internal management and staff
- Strong communication skills, both written and verbal
