**Job purpose**
Manage overseas import and export activities as the “Importer of Record” responsible for all declarations and documentation requiring a unique combination of attention to detail, global awareness and regulatory knowledge.
Connect our vendors and customers to forwarding companies to arrange import / export shipments to final destination. Manage all USA outbound/inbound shipments, including shipments in bond, to customers / forwarders in the USA. Manage all documentation to forwarders, customs brokers, and customers.
**Duties and responsibilities**
- Communicate with vendors, forwarding agents and customs brokers arranging overseas import shipments to country of destination. E.g., contact with the supplier when goods are ready to ship, contact with the forwarding agent arranging shipping, contact with customs brokers for customs clearance and release of shipment on arrival.
- Ensure “Importer Security Filing” (ISF) are on file for all USA shipments prior to vessel loadings.
- Check invoices against POs to ensure the price on POs matches the invoices prior to invoices being paid to the supplier. After checking, send invoices to A/P for payment.
- Get relevant shipping documents from vendors, review then send them to forwarding agents and customs brokers for customs clearance and release of deliveries.
- Set up in-transit files (EDIs) and update available ETA dates in the ERP system (Business Central), including internal communications with Customer Service and sales on delayed ETA dates to manage customer expectations.
- Inform Warehouse Manager on inbound shipments and arrange pre-pull of containers if necessary (eg. when a container cannot be taken prior to last free day).
- Post shipments in ERP system with updates (eg. prices, classification codes, origin of goods, import duty rates, and updated freight rates). Verify posted shipment to ensure average costs are correct.
- Maintain accurate records of all imports/exports and verify that custom brokers’ entries are correct to ensure that the correct duties are paid.
- Coordinate Duty Drawbacks for government refunds (once automated)
**Qualifications**
- Post-secondary education with several years of business experience
- High attention to detail and accuracy for meticulous record keeping for business-critical functions
- Strong Excel skills for tracking information with calculations, V-lookups, etc
- Good communication skills internally and with external partners, with sense of business urgency
- Able to work and do research independently for changing industry requirements (eg tariffs)
- Preferred: knowledge of regulations, familiarity with customs procedures, international trade laws, and tariff classifications to ensure compliance and avoid delays or penalties
**Job Type**: Fixed term contract
Contract length: 16 months
Pay: $50,000.00-$60,000.00 per year
