**THE POSITION - ADMINISTRATIVE COORDINATOR**
Kehoe Marine Construction is one of the largest employers in the 1000 Islands. We employ over 55 staff, and have a newly constructed professional office building, a 15,000 square foot fabrication shop and a fleet of tugs and barges.
The **Administrative Coordinator** is a key participant in the relationship with the internal clients, external business partners, and the company. Reporting to the CFO, the Administrative Coordinator plays a role that actively contributes to the smooth internal operations of the company. They possess a client service mindset, have broad administrative experience, intermediate to advanced document management skills, and excellent communication and interpersonal skills.
This is an on-site position at our newly constructed professional office located at 507-1000 Islands Parkway, Lansdowne Ontario.

**PRIMARY RESPONSIBILITES**:
Safety:
- All Kehoe Marine Construction employees are responsible to promote a safe work culture.
- Knows, understands, communicates, and ensures compliance with the safety regulations (Health and Safety Act) and safety policies and procedures outlined by the company.
- Completes incident and other safety reports in a timely manner.
The Work:
- Maintains company asset documentation (i.e., registrations, insurance, spreadsheets, binders, tracking of monthly inspections).
- Verifies and updates corporate information on industry sites (i.e., ISNETWORLD).
- Files WSIB incidents and maintains up-to-date WSIB clearance documentation.
- Assists in the preparation of company safety talks.
- Maintains asset inspection schedules and checklists, and coordinates with other departments to ensure that these are completed and documented in a timely and satisfactory manner and that maintenance items are recorded, communicated and completed.
- Maintains Commercial Vehicle Operator’s Registrations (CVOR)s for all company commercial vehicles.
- Manages the company cell phone program (i.e., competitive plan, phone inventory, upgrades).
- Maintains company courier and office supplies, including placing orders and restocking.
- Co-ordinates with supplier of company apparel for options, sizing, order placement, etc., and maintains company sizing chart documentation.
- Co-ordinates with company suppliers for equipment signs, labels, stickers, etc.
- Archives customer and accounting files.
- Participates in special projects with other departments as the need arises.
- Plans company off-site events.
- Other administrative duties as assigned.
**WORKING CONDITIONS**
- Works in a business office in a marine construction environment.
- Standard workday hours (9:00am-5:00pm). Longer hours may be required periodically.
- Ability to sit or stand intermittently throughout the day.
- Ability to work for hours at a time at a computer.
- Ability to occasionally lift up to 20 lbs.
**EDUCATION AND EXPERIENCE**
- Successful completion of a college or university program in a related field (examples include but are not limited to: Business Administration, Office Administration, Administrative and Office Management).
- Minimum of 5 years of experience in an administrative position.
- An equivalent combination of education and experience will be considered.
**OTHER REQUIREMENTS**
- Intermediate to Advanced level of proficiency with the Microsoft Suite of products (Word, Excel, Office, Teams, PowerPoint).
- General accounting knowledge and experience with accounting software an asset.
- Payroll experience an asset.
- Exceptional English communication skills, verbal and written. (French considered an asset).
- Has and maintains a Class G drivers’ licence with clean driving record.
**Salary**: $24.00-$30.00 per hour
