McMaster University Libraries are seeking a knowledgeable and collaborative archivist to join the Distinctive Collections Division.
The University Archivist will develop and lead services that ensure acquisition, curation, preservation, access to and promotion of physical and digital assets of enduring value to McMaster University and the understanding of McMaster’s history.
Reporting to the Associate University Librarian for Distinctive Collections, they will develop, implement, and maintain appropriate policies, procedures, documentation, and training materials, working collaboratively with the University Secretariat, Health Sciences Archives, and other colleagues in the University Libraries. The incumbent will arrange and describe archival materials in all formats, support reference and research access, and participate in outreach and training activities in support of university archives. They will establish and maintain relationships within the Libraries, the University, and the community to promote and advance the university archives program.
- Develop and implement policies, practices, and guidelines related to university archives, incorporating relevant McMaster University polices. Work collaboratively with the University Secretariat and University Libraries to integrate university archives with broader university records management practices. Investigate and identify best practices in use by other Canadian university archives to inform this development.
- Develop and maintain a mandate and collection policy defining the scope of the university archives collection and ensuring alignment with broader university records policies and institutional goals. Collaborate with the Health Sciences Archives and the William Ready Division of Archives and Research Collections to ensure appropriate alignment with existing repositories.
- Create and maintain appraisal guidelines and practices for non-university records or materials that may fall within the scope of university archives (e.g., personal archives of faculty or alumni, records of student organizations, memorabilia, etc.). Collaborate with the Health Sciences Archives and the William Ready Division of Archives and Research Collections to ensure appropriate alignment with existing repositories.
- Develop and maintain processes and procedures for transferring archival records in all formats from departments and offices to the university archives, the management of university records in the archives, institutional and research access to archived university records, and anticipated preservation needs. Develop necessary documentation to record the transfer of records to archival control. Collaborate with the Health Sciences Archives to ensure appropriate alignment with existing repositories.
- Work collaboratively with the University Secretariat and University Libraries to support communication and outreach activities. Participate in the development and delivery of training and resources for university departments and offices that promotes understanding of university archives and their role in the records management lifecycle.
- Collaborate with the Privacy & Records Management Specialist and Health Sciences Archives to identify potential archival records in the possession of McMaster departments and offices, giving attention to at-risk or high-priority records that may require more immediate action.
- Arrange and describe university records transferred to archival control to provide institutional and research access. Appraise, arrange, and describe other materials in all formats that fall within the university archives mandate and collecting policy, following accepted professional standards and practices.
- Provide research help, both in-person and remotely, supporting appropriate access to university records and related materials. Provide more in-depth research consultations as needed. Guide users to other McMaster repositories as appropriate to their research needs.
- Collaborate with existing repositories, such as the Health Sciences Archives and the William Ready Division of Archives and Research Collections, to leverage existing expertise and university resources. Establish relationships with other potential campus and community partners.
- Chair or serve as a member on Library and university committees, task forces and projects aligned with position responsibilities.
This is a full time, continuous
