In addition, students engage in experiential education opportunities to build their learning in a range of settings beyond the classroom.Reporting to the Operations Manager, Department of Psychology, the Administrative/Program Secretary is primarily responsible for providing administrative support to the Department of Psychology's Clinical, Clinical Developmental and Neuropsychology programs, including but not limited to accreditation, practicum and internship programs. The Administrative/Program Secretary is also responsible for providing administrative support to program coordinators and committees, as well as front-line and administrative services.
**Education**:
High school diploma with one year of post-secondary education (e.g., College or University courses).
**Experience**:
2 years' recent related experience in an academic environment including secretarial, program support. As well as committee support including coordination of meetings, preparing agendas, materials, and detailed minute taking. Familiarity with CPA accreditation requirements or with other accredited programs.
**Skills**:
Ability to coordinate the preparation of reports and accreditation materials including formatting large documents
Effective oral communication to obtain and relay information accurately in person, and over the telephone
Effective customer service skills
Experience with taking and transcribing minutes
Good written communication skills
Experience working in a team environment with demonstrated ability to meet deadlines with mínimal supervision
Exercising tact, diplomacy and discretion when dealing with others
Maintaining confidentiality
Attending accurately to detail
Excellent organizational skills including setting priorities, multi-tasking and working effectively under pressure of high volume
Problem solving skills and good judgment.
Technical Skills required:
Knowledge of an on-line computerized student records system (SIS)
Working knowledge of electronic mail and calendar (e.g., Outlook)
Intermediate MS Word (e.g., macros, tables, mail merge, document layout, etc.), intermediate MS Excel, (e.g., formulas, charts, graphs, formatting etc.)
Basic Access preferred
Working with databases (data entry. formulating reports)
Knowledge of online forms (i.e., Google Forms, Mach Forms, Adobe Acrobat Forms)Other:
Demonstrated record of good attendance, punctuality and reliability
