**Part-Time Bar Manager**

The Crusaders Rugby Club (the ‘Club’) celebrated its 58th year of operation in 2024-2025 and is one of the most dynamic and vibrant rugby clubs in Canada with 4 fields on 26 acres in Oakville and approximately 1400 active participants of all ages and skill levels.

The Crusaders Rugby Club is a not-for-profit organization.

The Employee will be engaged in the role of Bar Manager. The Bar Manager will manage inventory and resources, ensure that quality and safety controls are followed, create schedules, and set business objectives to increase profits, improve bar management processes and maximize customer member satisfaction.

The Bar Manager will promote and grow the Crusaders bar, hire and train waitstaff, and ensure that members are receiving excellent drinks, food, and service.

**Responsibilities**:
Manage the business aspects of the bar:

- development of, and management to, **bar budgets and financial targets**,
- renewal, awards, negotiation and management of all bar supplier contracts,
- casual **bar staff and volunteer staffing and scheduling**,
- bar staff **timesheet submission** and **reconciliation with POS system** reporting,
- ensuring **compliance with AGCO** regulations,
- **hiring**(with Treasurer or designate approval) of bar staff and selection/engagement of bar volunteers,
- **management and training of bar staff** to ensure that staff are safe, effective, productive and aware of their responsibilities and expectations,
- ensuring that bar staff are aware of and accountable to their broader non-bar responsibilities to **maximize the utility of bar staff labour** (i.e. clubhouse responsibilities/jobs beyond just the bar),
- working with Facilities Director, Secretary and Treasurer to **secure and book rentals and events**,
- working with the Events Director to **support club-held events, tournaments and social events**,
- **coordination of volunteer bar staff** as required and optimal,
- **promotion of the bar and events** to membership through club social media,
- management of POS system, including ensuring **pricing and costing is up-to-date and accurate**,
- ensuring **bar closes, till float tracking and staff hours recording** are accurate and complete,
- **ensuring bar staff follow procedures to properly secure cash and bar products** while the bar is in operation as well as securing cash and inventory after closing, established processes and continue to find ways to reduce the chances of loss/theft (cash, data, inventory etc.),
- **documentation of bar management processes**, inventory processes, accounting processes, staff guidelines,
- updates to the costs and pricing spreadsheets to ensure **costs are current**,
- work with Treasurer to **conduct periodic product and price reviews**,
- taking **monthly inventory** of alcohol and bar food products and maintaining inventory reports,
- **managing the purchase and ordering** of food and alcohol products on a weekly basis,
- purchasing and coordinating food purchases and maintaining food inventory,
- coordination with club members and coaches and **facilitation of clubhouse-based events**,
- ensuring that material staffing, scheduling, purchasing, pricing and other decisions that may materially impact the profitability or operation of the bar are communicated to the executive board and approved, and
- creatively making the bar and clubhouse fun and busy.

**Key Outcomes**:

- management the club bar as a standalone business within the club with daily profitability being a key concern and key outcome,
- working with Treasurer to ensure that the bar is accurately and comprehensively reported upon,
- inventory controls,
- operating the bar in accordance with, and to further develop, club culture and meet member expectations,
- regular and complete inventory and stock taking,
- inventory reporting monthly to board identifying losses during the period,
- improved cash management, POS reporting, and improvement of all bar processes to facilitate total visibility into the financial operation of the bar,
- revision of bar guidelines and documentation to reflect changes, and
- resolving, or identifying for the executive board, issues that impact the profitability of the bar (process, club-related, people-related, reporting-related etc.).

**Qualifications**:

- Post-Secondary Education, food/service preferred
- Smartserve

**Experience/Education**:

- Bar Management (3 years minimum)
- Familiarity with all AGCO regul
