**Main Purpose & Function**
The Solid Waste Volunteer Coordinator provides oversight, coordination, and management for all aspects of the City’s neighbourhood cleanup programs, including Neighbourhood Cleanup Party, City Hosted Cleanups, and Adopt-a-Block Program, and is responsible for developing, implementing and monitoring strategies and initiatives related to the cleanup programs.
**Specific Duties & Responsibilities**
- Manages and coordinates the Neighbourhood Cleanup Programs by:
- responding to inquiries, tracking and addressing any issues or complaints and providing education
- organizing, coordinating, and attending annual kick-off and wrap-up events;
- organizing, coordinating, and attending periodic cleanup events hosted by the City;
- supporting major cleanup events organized by external program partners and volunteers;
- managing and updating the volunteer database as required;
- coordinating cleanup supplies delivery and drop-off and managing inventory;
- managing sponsorships to the program and promoting programs through different channels;
- creating and maintaining an online map of cleanup locations;
- identifying opportunities and potential partnerships to expand program; and
- preparing work plans, surveys, schedules, cost estimates and budgets
- Collects, analyzes and interprets data for performance metrics and prepares routine statistical reports, tabulations, and identifies trends
- Develops and implements standardized work protocols and safety procedures governing the activities of program staff
- Monitors and tracks issues of programs, and researches, develops, recommends and implements strategies for improvement
- Develops and provides recommendations of new strategies, policies, procedures, programs, systems and methods for effectively dealing with improvements to the programs
- Develops and maintains strong, positive relationships with a broad range of internal City staff from various departments, community groups, business improvement associations, community policing centres, government and private organizations, schools, and individual members of the public.
- Plans, assigns, reviews, and supervises the work of staff supporting the program
- Assists with preparing Council Reports, by-law amendments, research, analysis and presentations
- Participates at public meetings, special events, presentations, workshops, and open houses, as required, outside of regular business hours, including evenings/weekends
- Monitors and evaluates the effectiveness of various promotional/educational programs and activities in terms of meeting program objectives and community acceptance
- Reviews and identifies gaps and risks from existing programs and develops and implements mitigating measures
- Works with the Communications team to develop and disseminate promotional material including press releases, newsletters, brochures, website contents, social media releases, and displays
- Manages contracts and purchase orders, including scope or work, cost estimates, budget preparation and monitoring, and ensures deliverables are met by contractors and external consultants
- Reviews and approves invoices, and assists with program administration
- Develops and maintains project documentation according to Project Management Framework (PMF) requirements as required
- Other duties and responsibilities as assigned
**Qualifications**
Education and Experience:
- Diploma in Marketing or Event Management and minimum three years of related experience in planning and coordinating events or an equivalent combination of education, training and experience
- Experience coordinating events, including planning and managing logistics an asset
- Experience in public speaking and outreach to large group of audience an asset
- Training or experience in community-based social marketing and solid waste management is an asset;
- Some supervisory experience is an asset;
Knowledge, Skills and Abilities:
- Thorough knowledge of the principles and techniques relating to project programming and scheduling techniques, public processes and coordinating the activity of various agencies and interests of different stakeholders
