**Office Supervisor Job Description - Mackenzie Beach Resort**
The office supervisor will be responsible for all office operations including resort reservations, training of office staff, and supervising the front desk team. The office supervisor will ensure smooth functionality and efficiency of the front desk and will endeavor to continually improve overall guest satisfaction.
**Front desk responsibilities**:
- Acknowledge and greet guests with a warm and friendly welcome.
- Maintain a high level of customer service at all times, develop relationships with guests, provide maximum personalized guest experience for repeat and future guests.
- Review daily arrivals, identify potential problems with room activity and take appropriate action.
- Collect resort revenue by entering services and changes and obtaining payments accurately.
- Confirm reservations and assist guests with the booking process.
- Conduct a regular check of waitlist reservations and contact customers in the event of availability in order to ensure maximum occupancy.
**Office Supervisor Responsibilities**
- Support Resort policies and management decisions
- Train and provide guidance to front desk staff
- Oversee and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Maintain and improve service standards.
- Build on office policies and procedures to improve workflow and productivity.
- Organize and maintain office records and files, ensuring accurate and up-to-date documentation.
- Collaborate with other departments to ensure seamless communication, coordination and productivity.
- Monitor and maintain office equipment and office inventory, including computers, printers, and other office machinery, coordinating repairs or replacements as needed.
- Facilitate effective communication within the office, disseminating relevant information and updates to staff members and other departments.
- Comply with all Resort safety guidelines and be familiar with emergency procedures.
- Set an example by your own performance and enthusiasm.
- Ensure professional presentation of the Front and Back office.
- Help to establish and consistently enforce rules and regulations.
**Office Supervisor Required Skills**
- Strong leadership and interpersonal skills to effectively manage and motivate a team.
- Excellent organizational and multitasking abilities to handle multiple responsibilities and prioritize tasks.
- Proficient in using office software such as MS Office Suite (Word, Excel, PowerPoint, and Outlook).
- Exceptional communication skills, both written and verbal, to interact with staff and guests for the ultimate experience.
- Attention to detail and accuracy in administrative tasks and maintaining records.
- Problem-solving and decision-making skills to address issues, make informed judgments and handle unexpected situations effectively
- Knowledge of office management procedures and best practices.
**Required Qualifications**
- High school diploma or equivalent; a bachelor's degree in business administration or a related field is preferred.
- Proven experience in office supervision or a similar role
- Previous hospitality/front desk experience
- Strong knowledge of office procedures and equipment.
- Proficiency in using office software and technology.
- Excellent organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Effective communication and interpersonal skills.
Pay: $22.50-$25.00 per hour
Expected hours: 35 - 40 per week
