**Sales Secretary / Licensing Clerk**

**Position Summary**:
Are you organized and passionate about automotive industry? We are looking for a Sales Secretary/Licensing Clerk to join our dynamic auto sales and leasing team.
**Key Responsibilities**:
- **Vehicle Registration and Licensing**:
Manage documentation for new and used vehicle transactions, renewals, and transfers of ownerships in accordance with **Société de l'assurance automobile du Québec (SAAQ)** regulations.
- **SAAQ Compliance**:
Keep updated on SAAQ laws and ensure all vehicles transactions comply with Quebec’s automotive regulations.
- **Document Verification and Submission**:
Review and verify customer documents for accuracy and completeness before SAAQ submission. Coordinate with government agencies as needed.
- **Customer Liaison**:
Communicate with customers about their registration status, handle inquiries, and guide them on legal requirements for vehicle ownership and leasing in Quebec.
- **Sales Support**:
Provide administrative support to the sales team, prepare contracts, and organize paperwork for vehicle transactions.
- **Maintain Licensing Files**:
Keep accurate records of vehicle registrations, titles, and other relevant documents.
- **General Office Support**:
Assist with filing, inventory lists, and maintaining supplies for vehicle licensing and sales documentation.
- **Insurance and Tax Coordination**:
Collaborate with insurance companies and handle tax-related documents as required by Quebec law.
- **Coordinate with Key Players**:
Work with government agencies t and provide regular updates to customers, ensuring a smooth documentation process.
**Required Skills & Qualifications**:
- **SAAQ Laws and Regulations Expertise**: Must have comprehensive knowledge of SAAQ regulation, including vehicle registration, ownership transfers, renewals, and adherence to legal requirements in Quebec. Familiarity with **SAAQ systems** for processing vehicle documents is essential.
- **Administrative Experience**: Previous experience in an administrative role, preferably within the automotive sales or leasing sector.
- **Vehicle Registration Process Knowledge**: Understand the legal documentation involved in vehicle registrations, such as ownership transfers, bills of sale, insurance coverage, and emissions compliance.
- **Strong Organizational Skills**: Capable of managing and prioritizing multiple tasks effectively.
- **Attention to Detail**: Must ensure compliance with regulatory requirements and prevent documentation errors.
- **Bilingual Communication**:Proficiency in French and English for effective communication with clients, the sales team, and government entities.
- **Computer Proficiency**: Skilled in Microsoft Office Suite (Word, Excel, Outlook) and experienced with database or registration systems related to vehicle sales or licensing.
- **Customer Service Proficiency**: Ability to clearly explain complex processes and requirements to clients.
- **Educational Requirements**: High school diploma or equivalent; additional training in administrative or legal aspects of automotive licensing is beneficial.
