The **Eastern Clean Energy team** plays a pivotal role in getting us there.
We are looking for a** Document Control Associate** to join our Eastern Clean Energy team. Reporting to the Information Management Analyst, the Document Controller supports information management processes ensuring accurate document and records management for the project.
**Note: this is a term position with an expected end date of December 2028.**
Key elements of this role include:
- Assist in the development and delivery of business processes for effectively managing electronic and physical documents.
- Develop and deliver document control training.
- Ensure that Information Management Procedures are followed by internal and external project participants.
- Interface with internal and external submitters of documentation.
- Generate accurate outgoing transmittals ensuring proper authorization, completion, and compliance to requirements (e.g. RFIs, RFPs, contract acceptance, change orders, etc.)
- Regularly update document logs, registers, and project databases, ensuring all records are current and accurate.
- Ensure assigned contractor and supplier documentation deliverables meet requirements and perform quality checks. Setup and administrate the master document registers (MDR), supplier master document registers and document distribution matrix.
- Assist in the system administration for Electronic Document Management Systems Adept and SharePoint. Support the Information Management Analyst in implementing information management methodologies, templates, and tools across the ECEI portfolio of projects.

**Education & Experience**
- Diploma or degree in information management.
- Minimum of 5 years of document control experience in a project environment, preferably during construction and commissioning phases.
**Technical/Job Specific Knowledge and Abilities**
- Strong demonstrated knowledge of records management & retention, data governance, construction work packages and data books.
- Strong knowledge of engineering, procurement and construction documentation, including processes and procedures, such as vendor data and as-built processes.
- Proficiency with Microsoft Office Suite, Adobe, and electronic document management systems.
- Experience using SharePoint Online (SPOL) and Adept is an asset.
- Strong organizational skills with attention to detail and accuracy in managing large volumes of documentation.
- Ability to work independently to set priorities and manage multiple tasks under tight deadlines
- Strong written and verbal communication skills.
