Our growing company is seeking to hire a Project Coordinator who will be accountable for assisting our Project Leads in organizing our ongoing projects and providing consolidated assessments and reports. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, assembling project documentation and ensuring that project deadlines are met in a timely manner.
The Project Coordinator is a support role for the project delivery team performing critical, and intelligent data collection and processing. As such, the coordinator must fully understand the project delivery model for an OEM. Training will be provided as required.
The Project Coordinator is a resource to, and works seamlessly with all Project Leads to ensure the financial and scheduling information is up to date and all variances are clearly presented to staff and management. Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project. They will also assist in developing specific mitigation actions with the Project Leads.
Here is a further outline of the role.
**Project Cost Sheets (PCS)**
- Enter and maintain all project financial information in the PCS sheet: Equipment/Labour/Contractor Costs; ETC's; Invoicing.
- Provide variance reports and explanations with the Project Lead.
- Tracking and issuing timely invoicing to our customers and payment of commissions.
- Preparing draft change orders entries in the PCS format for the Project Leads to facilitate better change order recovery.
**Scheduling**
- Maintain project schedules tool, being an expert in the efficient use of the scheduling tool. Project leads are accountable for project and leverages the Project coordinators skills and efficiency to maintain accurate schedules.
- Provide resource projection reports using the project schedules and punchlists.
- Assess and identify scheduling risks and issues.
**Project Submittals**
- Assist in preparing and submitting all project related documents including but not limited to: P&ID's; PFD's; GA's; Schematics; Bills of Materials; Cust sheets and vendor data; manuals; and certificates.
- Ensuring submittals meet both Fibracast and client requirements.
**Engineering Changes**
- Manage the ECO process for the department including but not limited to logging all change requests the ensuring all required documentation and notifications are completed in a timely fashion.
**Logistics**
- Working with the logistics teams, coordinates all project shipments and receipts. Includes preparing packaging: BOM's, addresses, required dates, special conditions, confirming receipts, addressing damaged receipts.
- Maintain equipment forecasts working closely with the: Project leads, Procurement, and Production. Flag all critical changes to Project and Department Leads for resolution.
**Education and Skills**:
- A Technical College degree (CET) or 5 years’ experience of related work.
- Competency in Microsoft Schedule
- Ability to read and develop budgets; Bills of material; schedules
- Ability to check and review drawings for consistency including: P&ID's, PFD's; General Arrangements; Electrical schematics
- Knowledge of shipping, receiving, and international logistics.
- Experience with automating spreadsheets and databases using visual basic, java python, or other 3G platform
- Exceptional verbal, written and presentation skills
- Ability to work effectively both independently and as part of a team
- Experience using computers for a variety of tasks
- Excellent organizational skills and attention to detail.
- Ability to work on tight deadlines
- Valid driver’s license and vehicle
