**THE OPPORTUNITY**

As a local representative of Gulf Pacific reporting to the Residential Property Manager, the incumbent is expected to conduct themselves appropriately and present an acceptable appearance at all times. All responsibilities must be completed with mínimal supervision, maintaining a high level of communication with the supervisor to keep them informed of impactful situations. The role also involves staying informed about industry changes, contributing to policy improvements, ensuring timely report distribution, and handling any additional duties assigned by the property manager, all aimed at maximizing property value and minimizing risks.

**THE ROLE**

As the Residential Property Administrator, you will assist the team to perform the following:

- Administrative services for the Property Management Department and others as required, which includes correspondence, monthly reports, budget summary lists, copying, and distributing of material including filing.
- Acting on critical date lists for action each month, such as insurance expiries and sales reports and reviewing with the Property Manager.
- Collecting monthly sales reports from tenants and following up with tenants for missing sales reports.
- Reviewing, maintaining and following up tenant insurance expiries and ensuring that we have evidence of appropriate insurance coverage on file, following up with tenants if insurance certificates are incomplete or incorrect.
- Maintaining utility usage control sheets in conjunction with the appropriate property, which is to be done when mail is received. Coordinate any invoice chargebacks.
- Preparation of miscellaneous reports as required.
- Assisting in the preparation of annual capital and operating budgets and forecasts.
- First point of contact for coordinating service calls from tenants and / or Property Manager.
- Preparing, coordinating, and distributing tenant notices.
- Coordinating site checklists.
- Maintaining the filing system including updating the filing lists, preparing new tenant files, miscellaneous files as required.
- Binding monthly reports for the properties and annual budgets for all properties.
- Key Scan Administration: Provide new cards or delete cards as requested by tenants.
- Key Locks: Provide new keys as requested by tenants or coordinate rekeying of locks if necessary.
- Building Signage: Update or provide new suite signs, elevator signs, and lobby signs.
- Administer the “service call” system and assign work orders to appropriate personnel. Follow up to ensure timely completion.
- Tenant coordination for suite access and contractor access.
- Updating building contacts: Tenant contact & emergency contact lists and Intelligent Notification System (Angus).
- Assist with special events and promotions as needed.
- Update Space Database.
- Welcoming visitors to the office and notifying staff of their guests’ arrival. Offering guests refreshments such as coffee or water. Show visitors in when requested to do so.
- Answering the phone, directing calls, taking messages, and serving as the front line of defense for service calls and site issues.
- Coordination of courier services as required by the office staff, including our weekly courier to Head Office.
- Managing the processing of incoming and outgoing mail. Outgoing mail should be stamped, recorded for billing purposes, and placed in the mailbox before 5:00 pm. Upon receipt, mail should be date-stamped, sorted, and distributed to the appropriate recipients.
- Fax Machine: Administration in/out. Ensure paper supply is sufficient prior to leaving for the day. Distribute received faxes in a timely manner. Regularly record and maintain the outgoing fax log.
- Booking and scheduling of boardrooms.
- Assisting with bulk mail-outs and perform mail merges for tenant account receivables.
- Initial report communications.
- Coordinating monthly reporting with site staff.
- Any other office tasks as required and assigned.

**THE QUALIFICATIONS**

The Residential Property Administrator has:

- Minimum of 3 years of related office experience in a property management environment.
- General understanding of the basics of commercial property management.
- Valid Provincial Real Estate License for Property Management and Trading or Strata, preferred or willing to obtain.
- Independent, self-starter, team player. Excellent organizational, priority, and communication skills.
- Able to work well under pressure, deal with multiple deadlines and priorities, effectively handle stressful situations, deal intuitively with situations, and work with mínimal directions and supervision.
- High degree of professionalism and passion for success.
- Ability to develop and maintain excellent working relations with clients and tenants.
- Follow-thru and follow-up skills.
- MS Office, Spectra, SharePoint, Yardi or Angus/MRI software skills.
