Position Summary:
Reporting to the Technical Data Management Lead, the Analyst - Document Management is accountable for document quality assurance, tracking and distribution management in accordance with the Document Management Standards and Procedures. The Analyst - Document Management will act as a gate keeper for all related documents.
**Responsibilities**:
- Receives, analyzes logs, files, and retrieves electronic and paper-based documents; issues document numbers as required;
- Reviews technical reports, specifications, drawings, and other documents for quality and adherence to standards;
- Transmits documents to appropriate personnel for review and approval; expedites the document review and approval processes;
- Identifies and uses the correct tools, systems, and techniques to index, file, and manage documentation;
- Develops and writes work instructions and procedures when required; provides quality and weekly status reports;
- Expedites quick solutions to questions and establishes more efficient/effective processes and procedures;
- Ensures that the redlines are completed on approved latest revisions of documents only;
- Uploads approved redlined documents and As-Builts into NWR’s Electronic Document Management System (EDMS);
- Administers the engineering tag numbering system; Issues engineering tags as required, ensuring adherence to the tag numbering standard;
- Coordinates the development and improvement of the EDMS software and associated tools. Engages multiple stakeholders and ensures business needs are met while managing costs to the organization;
- Ensures EDMS software upgrades are scheduled and implemented to maintain business requirements;
- Monitors and manages EDMS license usage ensuring onboarding and offboarding of users is completed efficiently;
- Trains users on the use of the EDMS software and on company document management standards and procedures;
- Administers the As-Building program ensuring adherence to the as-building standard and document management processes;
- Coordinates the organization's access to industry standards albeit electronically, physical copies, or subscription services;
- Manages the RFI (Request for Information) process; Receives, logs, and distributes RFI's as required;
- Manages the TDN (Technical Deviation Notice) process; Receives, logs, and distributes TDN's as required;
- All other duties as assigned.
**Requirements**:
- This is a full-time role located at NWR’s sturgeon refinery site;
- 5 years of related work experience; oil and gas experience is preferred;
- Experience using an Electronic Document Management System;
- Experience with concurrent engineering practices would be considered an asset.
- A thorough understanding of documentation procedures and information flow;
- Demonstrated ability to make appropriate decisions without constant supervision while ensuring supervisor is made aware of decisions made;
- Strong interpersonal and communication skills;
- Demonstrated strong coordination skills;
- Ability to be adaptable and have a positive attitude when dealing with changing requirements;
- Exhibit strong understanding of how to influence and collaborate with other staff members;
- Ability to train others on Document Management procedures;
- Be a team player: willing to continuously and proactively collaborate, share, and seek information and guidance;
- Proficient in the use of computer programs, such as MS Office;
- Understands creates and maintains a visible commitment to process and personal safety, as well as the safety of others; adheres to NWR’s Core Competencies to drive results and culture.
**About NWR**:
The North West Redwater Sturgeon Refinery is the first refinery built in Canada in over 35 years. The only refinery designed from the outset with a carbon capture solution, it uses leading technology to maximize performance and minimize environmental impacts. Phase One of the world class bitumen refinery in Alberta's industrial Heartland, is designed to process approximately 79,000 barrels per day of diluted bitumen from Alberta’s oil sands into much higher value products. This includes low-carbon ultra-low sulphur diesel, vacuum gas oil, diluent, and natural gas liquids. In addition to greenhouse gas emissions mitigation and the ability to produce lower carbon products from carbon capture, the Sturgeon Refinery is raising the standard of environmental performance for refining. Through deliberate choices in facility design and operations, the refinery has increased efficiency and reduced environmental impacts on air, water, and land. The refinery is jointly owned 50/50 by North West Refining and Canadian Natural Resources Limited.
