**THE DEPARTMENT**
- The following teams make up the Product & Operations department: Contracting, Data Management & Product services, Product Creation, and Tour Operations. Product & Operations is responsible for the creation, operation, inventory management and delivery of Globus, Cosmos, and Avalon Waterways in select destinations. This department is also responsible for supporting tour products planned and sold worldwide, including managing inventory and content.
**THE ROLE**
- The role of a Contractor is to implement the contracting strategy, negotiate and administer, as applicable, any hotel, overnight train, multi-day cruise, and/or ground supplier contracts for a designated territory/s. This role also serves as the functional expert for all buying in their assigned region and/or supplier type, and requires collaboration with Product Creation as well as various work areas to ensure successful execution of our tours.

**Contractors are also responsible for the following results**
- Building solid business relationships with tour suppliers/ ground handlers (DMC, ITO) by establishing rapport, utilizing influence rather than control, and fostering unilateral communication
- Implementing, in conjunction with management, the business processes associated with the acquisition and contracting life cycle (sourcing, negotiations, terms, contract executing) and relationship management (contract performance, contract compliance, quality, delivery and payment)
- Prepare and modify contracts based on final agreements, working collaboratively with the Manager, Contracting as needed to review standard terms and conditions along with other legal obligations for the company.
- Analyzing contract performance to ensure optimal costs are obtained and to monitor inventory needs, product flow, and pricing trends
- Maintain accurate contract and communication records; maintain consistent process of organization
- In collaboration with Product Managers, manage the optional excursions in the Enterprise optional database; this includes costing and pricing, margin review, creating document content and managing operational details.
- Provide assistance with preparation of tour series costs
- Responsible for accuracy of contracts and educated estimates for costing purposes; this includes accurately loading all final cost data into appropriate costing worksheets and modules
- Maintaining accurate and thorough supplier records, including contracts, critical communications, supplier details and information required by Inventory and Tour Operations at the outset of the season
- Working collaboratively with contracted ground handler and Product Managers to ensure Tour Technicals are updated and relevant on an annual basis.
- Working in tandem with Tour Operations and Product Manager, as needed to resolve any on-tour issues that involve suppliers as well as provide general assistance answering inquiries, providing updates and handling supplier requests
- Maintaining a broad knowledge of the travel industry and economic environment, especially as it relates to travel and market trends, and opportunities. Using this knowledge to the advantage of the company and negotiations
- Maintaining an understanding of the company’s competitive position through competitive analysis as well as other means of research and review
- Ensuring the accuracy of contracts for costing and accounting purposes; support accounts payable as required with invoice review and approvals
- Collaborate with the Contracting & Safety Compliance Coordinator to ensure all contracted suppliers meet our minimum requirements for health and safety practices, provide assistance as necessary to further investigate, or review supplier practices
- As required, assist with researching destinations and suppliers/ground handlers by performing extensive Internet research and discussions with CVB/Tourist Board organizations.
- Travel may be required; representing the organization by attending trade shows/conventions and industry events.
