**Role**

Workflow Managers oversee a team of Associate and Lead Bookkeepers to complete full-service bookkeeping services for external clients. The Workflow Manager is responsible for the overall quality and completion of client files from their direct reports and is expected to hold their team members accountable to performance metrics. WFM’s oversee the workload and capacity planning for the team, collaborating with other WFM’s and Lead Client Advisors to ensure all teams are able to meet their client commitments and performance metrics.

**Responsibilities**
- Manage the overall workload of bookkeeping services; delegating work accordingly to team members, and monitoring the overall capacity of the team utilizing Karbon budgets
- Oversee the submission of HST filings and payroll
- Monitor and evaluate ongoing performance metrics of team members, supporting with the development of performance improvement plans when required, and holding team members accountable for achieving their targeted outcomes
- Complete semi-annual performance reviews of team members
- Chair a weekly strategy/accountability call with the team to outline the objectives for the week and to review the team performance from the week before
- Complete weekly check ins with each individual report
- Attend a weekly workflow manager strategy/accountability call with the Director
- Correspond with multiple clients as part of ongoing service offering as needed
- Recruiting and onboarding of new employees and ongoing training for full team
- Onboarding of new clients
- Chair additional team meetings when applicable
- Supporting the year-end accounting team with file preparation and questions
- Prepare Ignition proposals for monthly clients for additional services as required
- Ownership over the quality control of client files from preparing team

**Results**
- On-time and accurate completion of client files
- Address constraints related to the completion of files to meet deadlines
- Self-review of completed bookkeeping files to proactively address errors or omissions
- Manage team capacity and address related issues
- Capacity Expectation is broken down as: 30% Capacity planning and workflow: 30% Team management & support, 25% Client management, 15% Meetings, projects, & general admin.
- Manage team members scheduling, time off and personal requests.

**Requirements**:

- Expert experience with bookkeeping methodology and systems HST and payroll
- Experience and confidence in leading a team
- Comfort dealing with client concerns and issue resolution
- Ability to manage multiple priorities under timeline constraints
- Strong communication skills for client and team interaction
