**Account Coordinator / Tradeshow Administrator**
As a trusted team player within the client services workgroup, at Effective Edge Communications, your job is to provide daily support in administrating multiple tradeshows and project management for clients.
**RESPONSIBILITIES**
**Tradeshow Administration**
- Craft and execute comprehensive plans for trade shows, overseeing booth layout, logistics, scheduling, and vendor coordination
- Foster seamless communication with vendors, exhibitors, and partners to ensure flawless execution of trade show events
- Book exhibit space and all supporting services and products required for each show
- Develop and manage timelines and budgets for each trade show project, ensuring efficient allocation of resources
- Spearhead the coordination of marketing materials, promotional items, and giveaways for trade show booths
- Collaborate closely with the marketing team and clients to devise innovative strategies for maximizing trade show exposure and engagement
- Embark on occasional travel to trade show venues to oversee setup and manage on-site logistics, ensuring everything runs smoothly
**Project Management**
- Communicate verbally & electronically with clients regarding project needs, scheduling, timelines, proofs and outputs
- Set up new projects and tasks for production team using our project management system
- Daily review of production calendar and slot in task times for projects
- Participate in daily morning production meeting, reviewing task status’ and daily schedule
- Gather, prepare and create content for design team (ie. concept sketches, ad copy, images, specifications)
- Assist on occasion with on-location photography / filming
- Manage the proofing process with clients and production team
- Manage and/or implement website updates on client sites
- Send artwork and files to publications, vendors and clients
- Source and communicate with suppliers
- Review, approve and input related payables into project management system
- Attend client meetings as needed
- Print media management
**Content Creation and Management**
- Idea generation
- Copy writing for video scripts, articles and promotional material
- Website UX planning
- Print layout planning
- Photo & Video Shoot Planning and on-site assistance
- Photo & Video file management
**Client, Vendor & Staff Communication**
- First point of contact for incoming phone calls
- Initiate contact and follow up with clients regarding proofing process, content gathering and project details, as required
- Request quotes from vendors, manage proof sign-offs and arrange file transfers as required
- Relay external and internal project edits and feedback to production team as required

**EDUCATION & EXPERIENCE**
Post-secondary education degree or diploma in marketing
Client services experience within marketing department or agency environment
Working knowledge of Adobe Creative Suite
Working knowledge of WordPress and Squarespace
Experience with desktop computer work tools (Google G-Suite, Dropbox, MS Word)
**Additional Information**
Occasional overtime may be required. Flex time is available when needed, as is the ability to work from home on a limited, as-needed basis.
