What’s the Scope?- Administer key Financial Services Programs including:
- Corporate Policy Administration-
- Corporate Credit Card Reporting and Administration-
- Expense Tool Administration, Reporting and Auditing-
- Corporate insurance negotiation and management-
- Corporate Annual Insurance Renewals-
- Annual Budget & RINGI approval administration-
- Vehicle Programs support-
- Communications for MS Teams, InfoHub and SharePoint site content updates-
- Provide administrative support to department Managers and National Manager
What You’ll Be Doing:
- Corporate Credit Card and Expense Tool_- First point of contact with vendor partners Chrome River and Citibank- Administer TCI’s Corporate Credit Card program- Prepare reports for monthly reconciliation- Manage program for users (e.g. set up new cardholders, respond to inquiries, manage card provider relationship, analyze usage compliance, propose restrictions/savings opportunities, inform users of delinquent account status and provide resolution steps)- Audit expense reports, conduct training- Manage system enhancements and maintenance of Expense System, facilitate meetings with provider, manage project implementation
- Insurance_- First point of broker contact for TCI insurance matters, supporting negotiation and risk mitigation in a timely manner- Review corporate insurance, identify overlaps and gaps in coverage; provide recommendations-
- Review contracts and coordinate with Toyota Credit Canada Inc. (TCCI) for company insurance requirements, order insurance certificates- Prepare summary of premium allocation to TCCI for approval and prepare invoices- Research and collect data with Legal department regarding insurance claims- Track Demo vehicle accidents
- Corporate Services_- Security administrator for banking- Administer pension support tasks, invoices, processing and meetings- Maintain F&A Toyota Connect site and materials
- Budget and Control_- Enterprise RINGI process administration incl. coordinating, collecting and distributing info to designated parties on a weekly basis to facilitate approval, cataloguing and maintaining approval log- Input, monitor and reforecast transactions for all F&A department OPEX details for annual budget while monitoring monthly spending- Create purchase requisitions within SAP, complete goods receiving and manual invoice processing/cheque requests for F&A department activities
- Department Duties_- Coordinate calendar management while ensuring calendars are booked appropriately based on daily business needs- Coordinate required travel for the department Managers and National Manager- Facilitate team meetings and social events to engage employees by organizing quarterly team meetings and coordinating bi-annual social events- Draft and update F&A Toyota intranet homepage & MS Teams quarterly- Respond to ad hoc requests from Managers, team members and TCI employees as needed- Edit, create and communicate policies and Standard Operating Procedure (SOP) changes while meeting defined timelines- Propose countermeasures to potential risk areas and submit new ideas/process improvements- Engage team with communication via the interactive bulletin board- General administrative duties to support managers and National Manager (e.g. supplies, announcements, presentation materials, department mail, travel bookings, scheduling vehicle use, all while maintaining confidentiality for sensitive in
