Accounts Manager Job Description
Job Summary
The Accounts Manager is responsible for performing and managing all front office responsibilities and duties including Accounts Payable, Accounts Receivable, Payroll, Administration, Operations, and Job Costing. The
Accounts Manager must be extremely detail-oriented, technically savvy, an excellent multi-tasker, and able to perform at a high level under pressure.
Responsibilities and Duties
Accounts Payable
- Maintain petty cash accounts and log all outgoing disbursements
- Monitor all vendor payment agreements to find discounts that can be used to reduce invoice amounts
- Responsible for paying all sales tax on appropriate invoices and making a note of each tax payment made
- Keep track of credits owed to the company and ensure all credits are properly applied to vendor payments
- Reconcile payable reports each month to confirm that all amounts paid were accurate
Accounts Receivable
- Post daily deposits
- Process incoming mail concerning billing and invoicing
- Communicate with clients about billing discrepancies and questions
- Engage management over any AR problems you encounter
- Initiate collections on past-due accounts
- Maintain accounting ledgers as required
- Create and update a log sheet for quality control
- Handle all special billing situations, including retention and holdbacks
- Audit ledgers to ensure they contain correct information, such as billing addresses and invoice numbers
Finances
- Maintain financial records for client companies by analyzing balance sheets and general ledger accounts
- Reconcile bank statements by comparing transactions to the general ledger
- Assist with day-to-day operations, including filing, report generation and budget review
- Process weekly payroll accurately and timely
- Maintain accounting documents and records, ensuring all files are up to date
- Prepare bank deposits
Administration
- Enter and maintain all vendor, customer, and employee data
- Adhere to data quality processes and procedures
- Create, maintain, and run reports as required, ensuring data is delivered in a timely manner with accurate information represented
- Recruit new administrative employees, then orient and train them for their specific job descriptions
- Conduct semi-annual evaluations of administrative personnel and provide guidance about potential improvements in each employee’s performance
- Serve as the liaison between administrative personnel and senior management, communicating needs and concerns so they can be handled expeditiously
- Select employees for special projects and programs, then oversee their output
- Achieve specific financial objectives by communicating with administrative personnel and making adjustments to workflow as necessary
- Implement customer service standards and evaluate employees based on their ability to meet those standards
- Provide technical and logístical support for all administrative personnel
Operations
- Create, manage, and maintain office processes and procedures
- Develop and adhere to operations budget
- Review all financial statements for discrepancies
- Keep track of staffing requirements and hire new talent as needed to correspond with specific duties and skill sets
- Communicate with legal counsel and safety department to ensure all processes remain compliant with OSHA and other governmental regulations
- Work with executive management to review job responsibilities and alter employee and departmental tasks based on company needs
- Collaborate with sales and operations teams to help find ways to create cost-effective business processes that will attract new customers
- Deliver a monthly report to management on industry trends and how to maximize those trends by altering company procedures
- Review office processes and procedures and implement operational improvements where needed
General
- Cooperate with project stakeholders to nurture strong relationships between office and site staff
- Intimate knowledge of Account software Sage 300
- Additional responsibilities and duties as required
**Salary**: $30,386.71-$87,092.71 per year
