**Why this role is important?**
Reporting directly to the Senior Vice President, Peers Relations West and the Senior Vice President, Peers Relations East, the incumbent performs and coordinates a variety of administrative duties and oversees the administration for the Peers Relations Department. The incumbent utilizes strong communication, organization and administrative skills, is a strong team player, works independently and employs solid judgement skills in the resolution of problems. The position handles sensitive material in a professional and confidential manner.
**What You’ll Do**:
- Utilize advanced software skills to produce reports, documents, minutes of meetings, coordination of travel arrangements, calendar management and other administrative duties.
- Respond to inquiries to resolve issues or concerns when able to protect the time of both SVP’s.
- Maintain the calendar of each SVP by scheduling corporate meetings and arranging appointments.
- Oversee administration workload to ensure that work is done accurately, efficiently and complies with policies, procedures and standards as well as best working practices.
- Organizes plan and coordinate various meetings, seminars and conferences to ensure all required materials and catering requirements are provided.
- Support development of presentations for Associate Working Group meetings (using PowerPoint/other).
- Arrange and confirm travel reservations ensuring time and cost effectiveness as well as travel policy compliance.
- Organize and maintain various filing systems to track and store data and documentation and allow for easy retrieval of information.
- Will be required to provide back-up support to other administrators/coordinators during vacation timeframes.
- Will be required to liaise with senior management and other related positions on a regular basis.
**What You’ll Need**:
- Post-secondary education (college diploma) in office administration or equivalent
- Greater than three years of office administration experience.
- An understanding of inter-related work processes to be able to adapt to differing assignments.
- Ability to provide routine information used in the coordination of assignments and work procedures of others.
- Professional manner, tact, diplomacy and discretion in dealing with Peers Representatives, Associates, Employees and Senior Management.
- Adaptable to set and prioritize work with varying exceptions. Able to work with diverse personalities and styles.
- Strong verbal communication skills in both one on one conversations and in group settings.
- Excellent written communication skills with ability to compose clear documents; facility with editing and/or proof-reading is required
- Bilingualism preferred
- Computer skills to produce reports, documents and presentations. Knowledge of several software packages.
