Specialist - Access Systems

Reporting the Manager of Operations and coordinating directly with Protective Services and the entire NAIT community, this position is responsible for the day-to-day management of all doors and door systems at NAIT including access systems and associated administrative functions. Door systems at NAIT consist of doors, door hardware, mechanical key systems, electrified access Control systems, Barrier-free door systems and door frames. This position ensures the integrity and reliability of door systems and of access authorities, credentials and clearances for both key and electronic systems
This position must be familiar with / have specialized knowledge of door and door hardware systems, NAIT’s inventory of access systems hardware, software and administrative protocols, how they generally work and how they may relate to each other. This position works closely with Technical Services in the development and maintenance of technical standards and design guidelines related to door and access systems. This position also works closely with one-at-NAIT related to continued expansion and reconfiguration efforts surrounding the NAIT One-Card.
The position involves the coordination of NAIT personnel and contract workers as well as external contractors and clients as it pertains to both doors and Access Control Systems at NAIT.
In carrying out these duties, this position will work as part of a team including the Joint Operations Center (a shared work center that carries out some of the administrative requirements relevant to keys and access control at NAIT) and collaborating with NAIT maintenance coordinators and/or outside contractors for specific systems repairs, replacements or enhancements..
The nature of the work allows considerable independence of action and judgment in determining requirements and for ensuring that the NAIT Access Systems are maintained in a reliable, functional and sustainable manner.
The position effectively communicates between system designers, consultants, commission consultants, installation personnel, maintenance personnel and end users in order to meet the expanding access needs of all NAIT facilities.
**Key Responsibilities**:
Access Systems - Maintenance, Operation and Development:
- Assist M&O staff in trouble shooting access systems. Provide technical support related to doors / door systems, keys, cylinders, electronic access hardware and /or software
- Using NAIT’s computerize maintenance management system (CMMS), maintain, track and report on maintenance and preventative maintenance activities related to door and access systems.
- Using established standards and knowledge of industry best practices, provide quality control on the implementation of hardware designs and software programming to meet the intent of the project requirements
- Assist in the ordering, commissioning and installation of the various system equipment and components
- Collaborate and coordinate work of other NAIT trades, contractors and suppliers
Projects / Project Management:
- Participation in pre, during and post construction meetings with project teams as required to ensure adherence to NAIT standards and systems requirements.
- Provide quality control, testing and commissioning support to project teams related to door and access systems.
- Participate in the development of long-range renewal and upgrade programs for inclusion in major maintenance and capital programs.
- Lead the project development of minor systems upgrades or renewals. Collaborate with lock shop and/or M&O teams and outside contractors to execute project delivery
Access Systems Management:
- Data base management:
- Maintain up to date records of NAIT staff, select students and contractors having access rights on campus.
- Maintain up to date database of access locations, lock and key codes for NAIT facilities (owned and leased).
- Coordinate with HR and One-at-NAIT on an as required basis to ensure student, staff and vendor lists are up to date and accurate.
- Maintain authority’s matrix and ensure / administer compliance related to issuance of keys / electronic access to users / clients
- Maintain and keep up to date a complete inventory of keys and electronic access devices including inventory control and purchasing requisitions, and auditing database, systems and system integrity
Communication:
- With NAIT staff, students and contractors related to access issues, questions and concerns.
- Reporting: Provide reports to FM leadership on KPI’s related to access systems performance and overall condition. Develop KPI’s together with key stakeholders (NPS and One-at-NAIT) to measure the success of access systems deployment and functionality
