**Job Title**: Executive Coordinator, Cochrane Search and Rescue
**Part time contract position** (up to 20 hours a week) 2-year contract
**Location**: Cochrane
**Reports to**: Board of Directors
**Position Overview**: The Executive Coordinator will play a key role in supporting the operational, financial, and organizational growth of our Cochrane Search and Rescue (CSAR) team. As the first point of contact for the community and with a strong focus on internal coordination and administration, this individual will ensure the smooth functioning of daily operations, lead strategic planning efforts, and support both the SAR team and board to achieve long-term goals. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple projects while maintaining a focus on community engagement, volunteer support, and sustainability.
**Key Job Accountabilities**:
Oversee day-to-day SAR operations, manage volunteer engagement, and ensure compliance with local, state, and federal regulations.
- Serve as the primary liaison for community outreach (excluding SAR incidents), foster and coordination of relationships with government agencies, emergency services partners, and the public.
- Support Board of Directors with meeting logistics, policy development, and organizational action and business planning and performance updates; act as a liaison between membership and the board.
- Ensure organizational legal compliance, maintain updated policies and procedures, and support the D4H Incident Management System data, including volunteer tracking and SAR incident reporting.
- Support financial administration, including processing expenses, assisting with fundraising, grant writing, and ensuring sustainable financial practices.
- Organize and maintain documentation, ensuring up-to-date, accurate records, and adherence to organizational protocols.
**Primary Qualifications and Skills**:
- Bachelor's degree in a relevant field (e.g., emergency management, public administration, nonprofit management).
- Proven experience in leadership roles, preferably in emergency services, nonprofit management, or related fields.
- ICS -100 required and project management certificate preferred
- Strong understanding of search and rescue operations and best practices.
- Proficiency in data entry and management (experience with D4H or similar systems is a plus).
- Exceptional organizational, communication, and interpersonal skills.
- Demonstrated ability to manage budgets, fundraising, grant writing and financial reporting.
- Commitment to community service and the mission of the organization.
- Strong attention to detail, particularly in documentation control and policy management.
- Ability to manage fundraising initiatives and support the organization’s sustainability goals.
**Working Conditions**
- May require flexible hours, including evenings and weekends, to accommodate operational needs.
- Physical demands may include outdoor activities and participation in training and exercises.
- May require travelling to attend provincial and or other SAR activities
- Flexible Location, from home office to other assigned offices as required
**Application Process**
**Job Type**: Fixed term contract
Contract length: 28 months
Pay: $26.50-$35.00 per hour
Expected hours: 20 per week
