Office Operations Assistant

We’re looking for an Office Operations Assistant to keep us organized, aligned and in sync.
In this role, you will be the first point of contact in our Ottawa office and play a vital role in the employee experience. Building relationships comes naturally and your communication skills are superb. Your can-do attitude ensures you’re always up for the challenge and are able to spot problems and solve them quickly. Skilled at juggling multiple priorities, you don’t break a sweat when things get hectic and are always happy to help out.
You’ll work closely with our People Operations team and in support of the entire Moz Group team. This is an opportunity for someone who is looking to work on diverse projects and hone their craft in people and office operations.
**Office Ops Responsibilities**:
Alongside our Operations Team (Team Happy), the Office Operations Assistant is the main onsite point of contact for all upcoming office operation and facilities needs, ensuring that office obligations are met.
More precisely, at the Ottawa office and for any upcoming office projects, you are responsible for keeping the office running smoothly and supporting the office operations team. Here’s what you’ll do:
- Manage office supplies, kitchen, and stationary inventory to ensure all employees have the necessary supplies.
- Support catered lunches and on-site happy hour events for employees.
- Packages and Mail Distribution.
- Oversee desk coordination and set up.
- Support the subtenant’s essential onboarding and facility needs.
- Ensure all stationary needs are met.
- Coordinate building/office access systems and access card distribution (visitors and employees).
- Ensure high standards of cleanliness in all common areas.
- Meet with vendors and schedule/coordinate onsite meetings, office visits, and project needs.
- Look for opportunities to align best practices across our offices (including Vancouver and Raleigh).
- Additional related tasks.
**People Operation Responsibilities**:
Works closely with the People Operations team to support additional initiatives including employee engagement, events and recruiting.
- Assists with Employee Engagement efforts and programs.
- Assists with internal virtual events.
- Supports internal on-site events when needed.
- Collaborate with our Recruiters to assist with Coordination on an as needed basis.
**Qualifications and Experience required**:
- 2+ years of office setting/administrative role and customer-facing experience.
- 1+ years of people operations experience preferred
- Experience with online systems and Google suite of tools, including Gmail, Calendars, Docs, Zoom and Hangouts.
- Highly organized with the ability to prioritize and work in high volume scenarios.
- Effective problem solver using good judgment and good at finding creative solutions to problems.
- Self-confidence and exceptional communication skills.
- Displays an attitude of integrity, professionalism, and positivity.
- Proficient written and verbal communication skills.
