Do you enjoy a front line administration role? Are you friendly, professional, and courteous? Then this is the job for you You will work as part of the Service team to review and close repair orders, ensure complete, accurate and timely invoices to maintain a high level of customer satisfaction and maintain vendor and inter-divisional relationships.

**Responsibilities**:

- Close work orders and create invoices
- Follow guidelines to write off service and parts as needed
- Reconcile sublet accounts and “splits” work orders for accurate billing
- Reviews repair orders for inaccuracies. Gather and clarify details for repair orders as required.
- Assists Service Coordinators as needed
- Warranty Administrator duties as required.
- Verify and approve technicians’ payroll daily, track vacations and generate associated reports.
- Creating & reviewing estimates, quotes, repair orders and invoices for P&D equipment and buses
- Performs various administrative duties, including:

- Ordering supplies, tools and safety decals.
- Cross train in other departments to provide coverage support
- Co-ordinate with R&L on scheduling and invoicing Retail Mobile repair orders

**Ideal qualifications**:

- 2+ years invoicing experience with knowledge of debits/credits
- Working knowledge of servicing heavy-duty trucks & trailers (or related industry) in order to understand repair time length and managing work orders is preferred
- Customer service experience preferred
- Excellent fact finding and analytical skills
- Organized, sets priorities, meets deadlines
- Strong aptitude for numbers, shows attention to detail
- Basic computer experience with MS Word and Outlook
- Exposure to a centralized billing system; Karmak knowledge preferred
- Accurate keyboarding & data entry
- Ability to work with interruption
