**Job Summary**: The Executive Assistant (EA) will provide comprehensive administrative support to the CEO, ensuring smooth daily operations and efficient management of the CEO's time. This role requires a proactive individual with excellent organizational skills, strong communication abilities, and the capacity to handle confidential information with discretion. The EA will act as a liaison between the CEO and internal/external stakeholders, managing schedules, communications, and projects while aligning with the CEO's strategic goals.

**Key Responsibilities**:
**Calendar Management**: Maintain and organize the CEO's calendar, balancing work and personal commitments and ensuring all necessary information is included in calendar entries

**Meeting Coordination**: Schedule, organize, and prepare for meetings, ensuring they are productive and aligned with business

**General admin duties**:Review invoices, clean up SOP

**Travel Planning**: Arrange all aspects of business and personal travel, including flights, accommodations, and transportation.

**Task Prioritization**: Assess and prioritize business/personal tasks based on their potential to generate revenue and support the CEO's strategic goals.

**Project Tracking**: Stay informed about key projects and deadlines, advising and updating the CEO as needed.

**Team Communication**: Serve as a liaison between the CEO and other staff members, ensuring clear and effective communication.

**Financial Monitoring**: Keep track of expenses related to the CEO's activities and office, ensuring adherence to budgets.

**Personal Support**: Handle personal appointments and tasks to help maintain a balanced lifestyle for the CEO.

**Problem Solving**: Anticipate and proactively address potential issues before they reach the CEO.

**Purchasing**: Make company, personal, or gifting purchases for CEO, ensuring all financial information is correct for wire transfers and confirming CEO approval of all purchases.

**Qualifications**:

- Proven experience as an **Executive Assistant, Chief of Staff, or similar role** in a fast-paced business environment.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills.
- Tech-savvy with experience in **calendar management tools, project tracking platforms, and office software**.
- **Proactive problem-solver**: Anticipates needs and resolves issues before they arise.
- **Detail-oriented**: Nothing slips through the cracks.
- **High emotional intelligence**: Able to navigate relationships with tact and professionalism.
- **Strong sense of ownership**: Takes full responsibility for outcomes.
- **Mission-driven mindset**: Passionate about Chantico’s growth and success.

Pay: $45,000.00-$60,000.00 per year

Schedule:

- Monday to Friday
