**Main Responsibilities**:
The Chief of Staff (COS) is responsible for helping to develop and drive the CEO agenda. This includes structuring and launching enterprise initiatives to achieve targeted business results. High-level program management of these initiatives may also be required. The person in this role will also be tasked with ensuring that meetings involving the CEO are productive as well as the preparation of executive presentations and leading special projects. The individual will need to be a strong “generalist” and able to collaborate with the regions and functions to ensure progress on the CEO’s priorities.
Chief of Staff’s time will be split in roughly the following way:
- CEO Strategic initiatives
- Develop and maintain structured inventory of critical priorities/activities of interest to CEO
- Follow structured approach for initiative management
- Conduct initiative reviews to ensure CEO needs are communicated, progress is being made, and issues are escalated
- Provide regular updates to CEO on project status and issues requiring attention
- Oversee the development and execution of visual analytics software for strategic decision making
- Manage key CEO meetings —preparation and facilitation (E.g. Board and SLT meetings)
- Drive development of board meeting content and meeting preparation
- Develop Board agendas
- Develop Board meeting content in collaboration with regional and functional teams
- Brief presenters as needed
- Perform project management to ensure timely content development
- Prepare supporting data and briefings to facilitate meeting readiness
- Work with NextGen (G3) Board stakeholders to facilitate key education sessions
- Draft CEO Letter to the Board
- Work closely with CEO Executive Assistant to:
- Remain apprised of / schedule upcoming CEO commitments
- Ensure appropriate and timely communication to meeting participants
- Participate in meetings and ensure that meeting action items are captured, distributed identified with owners and timing assigned
- Follow-up on action items to monitor progress and drive closure
- Manage/own preparations for external engagements with various organizations/groups
- Leadership of projects for CEO
- Scope, plan, and execute multiple, often quick-turnaround projects and requests with mínimal outside assistance
- Present ideas for special projects that might advance the CEO’s/leadership’s objectives
- Work with appropriate stakeholders, including outside parties, to undertake analyses
- Oversee, if necessary, transfer of project to other stakeholders in the organization
The position is based in Toronto and some travel is required.
S/he will earn instant credibility based upon a demonstrated track record of success. S/he will have demonstrated the ability to partner with others in order to drive solutions though efficiencies and synergies.

- Excellent communication skills to effectively and persuasively articulate positions (electronically and verbally) to various audiences and at all levels of the business
- Ability to summarize and condense information into executive-level presentations

- Ability to effectively delegate tasks and measure progress across multiple priorities
- Program management skills: identification and management of stakeholders, milestone development and tracking of progress, resource management, risk mitigation, detailed action planning, basic familiarity with change management.
- Data-driven and highly analytical:
- Ability to analyze data and draw recommendations / conclusions
- Capability to have an independent point of view; confident in presenting a point-of-view at senior levels

- Proven capability to develop and maintain strong collaborative business relationships across global and regional functions
- Ability to “roll up your sleeves” and dive into details
- Able to create content and deep dive into analysis and preparation without delegation.
