Office Supervisor

Reporting to the Service Manager, the Office Supervisor is responsible for assisting the Service Manager in the day-to-day operations of the Service Department, with the main focus of overseeing the Service Office and Advisors. S/he will operate the department at maximum production, controlling costs, building a loyal clientele, maintaining good employee relationships, setting and obtaining sales and profit objectives, and maintaining service records.
**DUTIES AND RESPONSIBILITIES**:
**Management-related**:
- Assists the Service Manager in forecasting future and present needs, goals and objectives for the department and implement action plans to achieve them
- Review Peterbilt Platinum Scorecard, working towards the goal of achieving 100%
- Understand, keep abreast of, and comply with federal, provincial and local regulations that affect service operations, such as hazardous waste disposal, etc.
- Strive for harmony and teamwork with all other departments
- Foster a positive and communicative environment
- Attend Managers meetings as requested
**Personnel-related**:
- Review WHIP list daily, setting expectations with service advisors and keeping them accountable to meet objectives
- Assists the Service Manager in motivating, counselling, and monitoring the performance of all service office staff
- Conduct annual performance reviews for all service office staff in coordination with the Service Manager
- Direct and schedule the activities of service office staff
- Assists the Service Manager in directing and scheduling the activities of all service department staff
- Assists the Service Manager in conducting safety and service meetings with service department employees to discuss activities and problems of mutual interest
- Monitor service department employees’ payroll records
- Manage technician’s uniform inventory
**Customer and Department-related**:
- Follow up on parts orders and availability, ensuring that the customer has been notified by a service advisor once the requested part is available
- Hold service advisors accountable to follow the cash and credit policy to ensure that no customer vehicle leaves the premises without receiving full payment
- Ensure the proper processes are being followed, such as the checking-in of trucks and follow up on pick-up and service, and the utilization of the programs true video and decisive to their full capacity
- Establish and maintain good working relationships with customers to encourage repeat and referral business
- Assists the Service Manager to handle and resolve customer complaints
- Ensure that the work areas and customer waiting areas are kept clean
- Understands and ensures compliance with manufacturer warranty and policy procedures
- Coordinate’s training required for service office staff
- Participates in all training programs made available through Peterbilt or outside vendors and ensures employees participate
- Ensure that menu-based pricing is being offered to customers
- Monitor and enforce that all employees and customers comply with PPE requirements while in the shop, ensuring non-employees are escorted by an employee of Peterbilt Manitoba Ltd.
- During winter months, ensure that doorways are clear of snow and ice
- Other duties as assigned by the Service Manager
**QUALIFICATIONS**:
- High school diploma or equivalent
- Post-secondary diploma in business management or/or a related field preferred
- Minimum of 3-5 years of experience in a Service Shop environment in the Heavy-Duty Truck Industry
- Proficient in Microsoft Word and Excel
- Previous supervisory experience
- Excellent communication, supervisory and managerial skills
- Excellent customer relations skills
- Strong organizational and time-management skills
- Strong business ethics with a professional approach
- Professional personal appearance and dress
- Possess a valid Class 5 Manitoba driver’s license. Class 1 Manitoba driver’s license is an asset
**Salary**: $20.48-$33.27 per hour
