Accounting Assistant/operations Support

Job Duties Outline:
- Day to Day operations support - as required for BCS Controls, reporting directly to project manager and service manager. Specific duties are as follows:
- Enter accounts payable invoices
- Billing and invoicing
- Assist with accounting functions
- General filing and records management
- Service coordination
- Entering SR# into tracker, and maintaining completion status
- Collecting service reports from technicians and assembling for billing
- Tracking any costs pertaining to the SR (hours, materials & supplies)
- Forward requests for quotes to procurement/estimation team
- Bill SR’s when complete
Maintenance Contracts
- Entering CM# into database for job costing and progress tracking
- Scheduling service visit (quarterly, semi-annual, annual) and following up with technician to ensure completion (through service tracker or shared calendar)
- Collecting reports from technicians and assembling for billing
- Tracking any costs pertaining to the CM (hours, materials & supplies)
- Forward requests for maintenance contract creation or renewal to procurement/estimation team and service manager
Parts Orders & Sales
- Entering part sale # into database
- Forward request to procurement/estimation team who will generate quote and complete sale
Project support
- Set up new projects (on server and hard copies), update job lists and database
- Create project package for assigned electrician/technician
- Generate, maintain and organize project documents
- Generate close-out documents and send to clients with project As-builts
Other administrative duties
- Answer main phone line and direct calls to appropriate department
- Maintain organized office filing system, both electronic and hard copy
- Organize all courier services
- Prepare office documents and correspondence as requested
