- $53,636.63-$74,509.56Reporting to the President and Chief Executive Officer, the Executive Administrative Assistant delivers a wide variety of high-level administrative support. As Executive Administrative Assistant, you will have proven ability to work independently, screen and prioritize communication, meet deadlines, and have the ability to make decisions by anticipating needs. This role requires coordination of confidential and sensitive internal and external communications, the management of complex events, development of position relationships with various internal and external stakeholders including residents, clients, family members, employees, external organization’s leaders, and government officials.

**Key Accountabilities**
- Anticipating the needs of the CEO, identifying problems and implementing solutions.
- Time and Calendar Management: Establishes a systematic method to track time commitments and the completion of tasks. Independently manages CEO’s calendar by scheduling appointments, anticipating needs, changes and rearranging meetings as appropriate.
- Document Preparation and Management: Formats and edits letters, memos, reports and presentations from draft stage to client-ready work. Uses independent judgment to compose general, non-technical business documents. Is privy to, and must protect, confidential materials. Follows an organized filing/document management process for electronic and paper documents.
- Assists with preparation, distribution, and communication of policies, procedures, and directives to ensure consistency across the organization.
- Travel Planning: Coordinates cost-effective and sometimes complex domestic and international travel arrangements and itineraries for individuals and groups.
- Meeting Coordination: Coordinates and arranges on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, and travel).
- Provides support to committees as delegated by accurately recording, preparing, and circulating agenda, meeting minutes, and supporting documents.
- Prepares and processes invoices, expense claims and credit card reconciliation statements.
- Maintains stock of office supplies for the CEO office.
- Proactively seeks opportunities to provide additional value added service to ensure all established deadlines/commitments are met.
- Manages phone calls and incoming and outgoing written materials.
- Demonstrates dependability by reporting to work on time and as scheduled.
- Maintains a high level of cleanliness, keeping the work environment consistently tidy.
- Adheres to all infection control practices and procedures.
- Interacts with residents, clients, families as directed by the CEO.
- Represents the office of the CEO in a respectful, calm, and compassionate manner.
- Ensures CEO office meeting workplace health and safety requirements.
- Manages assigned projects.
- Other related duties as assigned.

**Education and Experience**

Educational and other qualifications:

- Office Administration diploma or equivalent

Work Experience includes:

- Five (5) years’ experience working as an Executive Assistant preferred
- Health, human resources and/or nonprofit sector administrative/secretarial function experience preferred
- Proven experience working with a high degree of independence
