**Receptionist - Permanent Part Time**

**Position summary**:
The Receptionist is to provide professional and courteous reception and switchboard services to patients, family members, visitors, staff, volunteers and community members. Plays an integral role in emergency/disaster procedures and communications.

**Responsibilities include**:

- Greets visitors and responds to queries from staff, patients, family members and the public in a professional and courteous manner
- Screens all individuals entering designated entrance for symptoms, signs and travel based on the provided screening guidelines (consists of asking questions on screening form +/- temperature reading).
- Utilizes the screening tools provided to assess eligibility for entrance, including screening for signs and symptoms based on the screening tool.
- Ensures all visitors entering follow proper precautionary measures and wear appropriate personal protective equipment when required.
- Receives and signs for registered mail and other delivered materials.
- Receives incoming calls in a courteous and efficient manner; prescreens and re-directs calls to appropriate staff and/or departments and patients and accepts or relays messages where required.
- Operates the paging system to communicate with staff regarding announcements, notifications, and emergency situations/codes.
- Assists during emergency codes by making public announcements, notification phone calls, call backs and other tasks as defined in the Hospital’s Emergency Measures Manual.
- Answers/responds to emergency fire telephone, elevator intercom, cardiac arrest annunciator and other emergency communication devices
- Processes security card and photo id requests in accordance with Runnymede Healthcare Centre procedures.
- Dispatches appropriate departments (e.g. Pharmacy, Central Storage, Maintenance, Housekeeping & Food Services) to the loading dock when deliveries arrive.
- Sorts and distributes incoming mail. Processes the Hospital’s out-going mail. This includes the weighing, stamping, registering of letters/parcels and delivers outgoing mail to mailbox.
- Communicates with IS for telephone extension assignments and updates the electronic telephone directory
- Provides secretarial and data entry support to Hospital as required.
- Provides colour printing, photocopying and laminating services as required.
- Secondary School Graduation Diploma or combination of education and work experience
- Strong skills with Windows Operating Systems, Microsoft Word, Microsoft Excel, Microsoft Outlook. General office equipment, fax, photocopy, Canada Post Machine etc.
- 1-2 years reception and/or switchboard experience preferred
- Excellent interpersonal and communication skills including excellent oral and written communication skills
- Must be able to work cooperatively with all staff
- Ability to deal with emergency situations in a calm, efficient and prompt manner
