Position: Office administrator
Classification: Out of scope
Introduction: Working closely with the Director, the Administrative assistant provides administrative
and accounting functions including preparing and processing payroll, accounts payable,
accounts receivable, and monitoring expenditures and budget.
Supervisor: Library Director
Key responsibilities:
Basic office bookkeeping (AR, AP, expense tracking, financial reporting, payroll, etc.)
Records and maintains receipt of goods and services as well as corresponds with vendors
Maintains personnel records
Establishes and oversees office procedures
Prepares board packages and meeting minutes including staff meetings and evening board meetings
Maintains statistics as required to complete annual reporting requirements
Maintains an inventory of supplies for the operation of the library and its’ equipment.
Other tasks as assigned by the Library Director
General responsibilities:
Understands and upholds board policies and library procedures
Contributes to a positive atmosphere for coworkers and patrons
Respects and upholds confidentiality
Requirements:
Bookkeeping certificate
5 years relevant experience, preferably with QuickBooks
Ability to work independently and with a team
Ability to establish and maintain effective working relationships with management, staff, and community
Excellent spoken and written English
Reasonable availability for evening shifts
Creativity, flexibility, and a strong desire to serve the community
Hours of work:
25 hours/week
