Reporting to the Accounting Manager, the Utilities Specialist is responsible for the maintenance of the utility subsystem and related accounts receivable activities and clerical work in the accounting area. This involves the preparation and processing of adjusting entries and utility invoices, updates to the utility sub ledgers, and preparation and reconciliation of the daily cash deposits.

**COMPENSATION**
- 2025 wage range: $32.83 / hour to $35.88 / hour
- $3/hour shift premium for evenings and weekends
- 100% employer paid health and dental benefit premiums (excluding LTD) after successful completion of a 6-month probationary period
- $1000 annual health spending account
- Opportunity for a 5.75% increase effective January 1, 2026
- Opportunity for a 5.75% increase effective January 1, 2027

**TERM**
- This is a temporary position, with an expected Term of (2)-years.

**JOB DUTIES AND ACCOUNTABILITIES**
- Responsible for the preparation and forwarding of all utility notices, reconciliation of the utility sub ledger to the general ledger on a monthly basis and all aspects of related accounts receivable activities.
- Provide reception and referral services to all Town residents and visitors.
- Receive payments, process transactions and provide receipts.
- Answer the Town telephone switchboard and facilitate call transfer to the appropriate department as well as providing routine information.
- Responsible for the daily balancing of cash receipts.
- Responsible for processing of adjusting entries related to utility accounts as required.
- Prepare ad-hoc reports from the Town financial system as required.
- Responding to utility customer queries.
- Handle incoming calls regarding utility accounts and balances.
- Maintain accurate utility meter reads, meter change-outs, winter averaging, new accounts and final reads.
- Manage pre-authorized debit payments for utility invoices. Maintain customer files and process EFT monthly.
- Maintain customer E-bill information.
- Record serial number and civic address for garbage and recycling bins and field inquires and complaints.
- Coordinate the sale of plots, billing and grave locations for our local cemetery.
- Provide administrative support for road closures, digs, dig permits and locates.
- Reassign service requests thru Bellamy system.
- Provide administrative support to the Operations Department.
- Provide back-up within Corporate Services as required.

**REQUIREMENTS**
- Business Administration-Accounting diploma; combination of education and experience may be considered.
- Minimum of two years related experience.
- Ability to work independently, as well as within a team-oriented environment.
- Ability to communicate effectively with both internal and external contacts.
- Proven competency with software systems used by the Town of Coaldale (eg. Microsoft Software, Bellamy Software.)

**WORKING CONDITIONS**
- Manual dexterity required to use desktop computer and peripherals
- Overtime as required
- Lifting or moving up to 10lbs may be required
