**Day in the life of**:
As a self-regulatory organization, the Canadian Investment Regulatory Organization (CIRO) takes its responsibility of setting high-quality regulatory and investment industry standards seriously, while protecting investors and supporting healthy capital markets in Canada.
The primary function of the Hearings Assistant is to support the Hearings Office in administering CIRO disciplinary and regulatory hearings across Canada. The Hearings Assistant also provides support in relation to the department’s corporate governance activities, including meetings of the Board of Directors, Board Committees, Regional Council, and Dealer Members as required.
**Core Responsibilities**:
- Provide administrative support to the Hearings Office in administration and effective coordination of hearings (in-person, electronic or hybrid), including coordination of travel and venue logistics for hearings across Canada
- Assist with preparation and circulation of correspondence, updates and reports
- Assist with preparation and review of hearing-related documents, including formatting, publication and redactions of hearing and other records as needed
- Processing and maintaining hearing and other records, including tracking hearing-related expenses
- Provide support for the Ontario Regional Council, including meetings’ coordination and preparation of minutes as needed
- Provide assistance and back-up to Assistant Corporate Secretary with uploading and maintenance of electronic records for Board and Committees meetings, education and attestations, coordinate and assist with corporate filings and other matters as needed
- Provide assistance and back-up for other GCO functions as needed
**Education/Experience**:
- Relevant post-secondary degree or prior administrative tribunal or court experience
- Relevant administrative assistant experience
- Knowledge of Microsoft Office Suite and SharePoint, electronic communication platforms (such as Webex and MS Teams), e-hearing solutions (such as Case Center) and board books (such as Diligent Boards)
**Key Skills and Competencies**:
- Understanding of administrative tribunals, including their processes and documents that may be used in the course of a hearing
- Strong organizational and time management skills
- Excellent interpersonal and communication skills (written and verbal)
- Demonstrated ability to multi-task maintaining accuracy in a record intensive environment
- Ability to exercise good judgment and work independently
- Knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint
- Ability to deal professionally and effectively with hearing participants, counsel, hearing panel members, board members, et al.
- Precision, accuracy and exacting attention to detail.
