Athletics and Recreation’s commitment to excellence in sport, health and wellness, and customer service make it a key contributor to student success on campus, and the department plays a critical role in student recruitment and retention. Under the direction of the Intramural Programmer, the Intramural Assistant aids in the implementation of services offered through Vikes Athletics and Recreation operations. This area includes overall league management within the Intramural portfolio and activities offered through Informal Recreation and Drop-In. Intramurals currently offers more than 37 leagues and manages more than 3800 participants per term. The Intramural Assistant provides part-time support in supervising the day-to-day operations and serves as the first point of contact in providing excellent customer service for our participants. The Intramural Assistant is a self-motivated individual who assists with scheduling, hiring and training student staff and maintaining efficient workflow throughout the year. Our Intramural program is staffed seven days a week, from 5:30pm to 11:00 pm, with two days a week ending at 12:30am and 2:00am respectively, requiring this position to have flexibility to work evenings and weekends according to operational requirements. As well, our Informal Recreation and Drop-In programs operate throughout business hours within CARSA and McKinnon requiring additional flexibility to meet operational needs. - Job Requirements **Experience**: Must have a minimum of two (2) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience. **Related work experience should include**: - Scheduling and coordinating - Using databases, spreadsheets, payroll and data entry **Preference will be given to applicants with experience with** - UVic information systems - Using Fusion Living Software - IMLEAGUES Software - Supervising intramural leagues within a university environment **Knowledge/Skills/Abilities**: - Excellent organizational skills including attention to detail, time management, and ability to multi-task in a fast-paced environment - Exceptional administrative skills including meeting and calendar coordination - Strong communication and interpersonal skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies - Experience in effectively maintaining the confidentiality of highly personal and sensitive information - Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement and innovation, and employing critical thinking and/or analysis - Ability to work under pressure and meet strict and often emergent deadlines - Ability to exercise initiative, good judgement, tact, and diplomacy - Demonstrated commitment to valuing the principles of truth, reconciliation and respect, equity diversity and inclusion, and contributing to an inclusive working and learning environment **Specialized Knowledge/Education**: Secondary school graduation or equivalent.
