The Medical Operations Coordinator will be responsible for supporting various daily administrative functions of the Medical Operations team. In this role the Medical Operations Coordinator will work closely with the Director, Medical Operations and VP, Medical Operations on various administrative tasks for the medical operations team. The coordinator will have a strong customer service focus while dealing with internal and external customers including guests and crew, onboard medical teams, clients and the internal Vikand team.
**Responsibilities**
Duties include, but are not limited to, the following:
**Customer Service, Communication and Service Delivery**
- Accountable for outstanding customer service to external (Cruise ship clients, Guests and Crew) and internal customers (VIKAND Team)
- Ensures timely and professional communication.
- Communicates and collaborates with the VIKAND Managers,
- Prioritizes workload and clearly communicates deliverables and expectations to those assigning projects and direct manager.
- Reports in a timely manner on outcomes of assigned projects.
**Medical Operations**
- Provides administrative support to the shipboard medical teams on stock management and monthly inventory management.
- Reviews shipboard formularies and monthly shipboard orders against previously identified par levels.
- Provides administrative support for SeaCare, such as creating user accounts, providing onboard training and submitting tickets to Tritan.
**Pre-Cruise Support**
- Reviews and approves cruise guests’ medical history and evaluate fitness to travel for designated client accounts.
- Monitors, review, and respond to all medical inquiries via the Vikand Medical Inquiry Smartsheet of assigned clients in a timely manner.
- Consults with assigned MSMO and MD in cases where secondary medical review is necessary to establish the guest is cleared to cruise.
**Post Cruise Support**
- Monitors and respond to all guest medical records requests in compliance with Vikand Standard Operating Procedures.
- Identifies and flag concerns with medical records requests
- Ensures HIPPA and GDPR compliance are maintained at all times.
**Quality Assurance Support**
- Provides administrative and technical support for all shipboard, shoreside and client SOP users.
- Maintains an annual medical quality assurance audit schedule and ensure efficient communications are maintained with the assigned auditor, vessels medical teams and leadership, as necessary.
- Clearly identifies key dates for remote audits and communicate effectively to shipboard medical teams.
**General Administration**
- Provides support with issuance of medical and public health certificates, including but not limited to, sexual assault and infection control officer certificates.
- Manages the medical operations on-call schedule and request process with MSMO’s and MD’s, ensuring the schedule is maintained at least a month in advance.
- Ensures HIPPA and GDPR compliance are always maintained when handling sensitive medical information.
- Identifies areas for quality improvement and improved customer experience.
- Is available to work shift work where necessary.
- Supports any other areas of business as requested
**Experience Require**
- Nursing degree
- 1+ years’ experience working on cruise ships preferred.
- Fluent in English
- **Fluent in Mandarin or Japanese (speaking and writing) required**:
- Experience using SeaCare preferred.
- Understanding of HIPPAA / GDPR compliance
- Understanding of flag state requirements, MLC and other maritime regulations preferred..
- Proficiency in Microsoft Office and Smartsheet
- Must demonstrate excellent written/verbal interpersonal communication and problem-solving skills.
- Ability to manage own time and schedule own tasks. Must have initiative to work efficiently without constant supervision and direction.
- Ability to recognize, understand and appropriately handle sensitive information in a confidential manner.
