**The Opportunity**:
We’re looking for a coordinator to join our Asset Management team.

Your role will be required to regularly perform essential duties on behalf of the company from your assigned Aviso office. Your role is considered medium flexibility, requiring you to work onsite 1-3 days per week at our office at 151 Yonge Street, Toronto, ON.

In addition, the Coordinator will also be integrally involved with other operational aspects of divisions supported. The incumbent takes strong initiative to execute tasks with a high degree of professionalism, confidentiality and efficiency and brings exceptional organizational, communication and teamwork skills.

**What your day looks like**:

- Administrative Assistance and Support_
- Provides a full range of administrative assistance to the SVP, Chief Investment Officer; VP, Head of Responsible Investing; and VP, Head of Product, as required: managing an active calendar; providing initial response to issues or redirecting to others, liaising with offices of senior executives internally and externally
- Compiles and completes monthly credit card and cash expense claims and invoices
- Prepares, formats and edits letters, memos, reports, meeting materials, and presentations, from draft to presentation-ready. Includes adding and formatting media, along with compiling requests for reports
- Maintains an organized filing/document management process for electronic and paper documents that ensures the protection of all confidential information and materials
- Develops and maintains strong client-focused relationships with executive assistants and with all members within the Asset Management business line to ensure effective communication and optimum support
- Effectively manages and resolves conflicting priorities and negotiates workable timeframes with other Executives and reporting staff seeking administrative assistance
- Prioritizes conflicting needs; handles matters expeditiously, proactively and with a high degree of professionalism and follows-through on projects to successful completion
- Travel, Calendar, and Meeting Management_
- Manages the development of the executives’ calendars by prioritizing internal and external, on and offsite, local, and regional meetings.
- Coordinates cost-effective and sometimes complex domestic and international travel and accommodation arrangements and itineraries
- Anticipates needs, changes and rearrange meetings as appropriate to ensure the resolution of all conflicting requests
- Coordinates and makes all arrangements for on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, travel, etc.)
- Keep the supported executives on track of deadlines (e.g., performance reviews, HR requests, Asset Management divisional requests, etc.)
- Divisional Support_
- Provides further administrative support on special projects and initiatives where time and capacity permit
- Keeps group calendars updated
- Supports the onboarding process by scheduling introductory meetings for new hires, completing HR onboarding forms, IT set up requests, etc.
- Act as central point of contact internally and externally for: group subscriptions, invoice payments, events registrations, L&D request processes, sponsorships, etc.

**Requirements**:
**Your experience and skills**:

- University or College
- 2 years’ experience in a similar role supporting senior level executives
- Ability to prioritize while handling sensitive, confidential and urgent matters
- Demonstrates and projects professionalism with a high degree of diplomacy, tact, and judgment
- Responsive and proactive in a fast-paced environment
- Ability to develop and maintain effective working relationships at all levels of the organization
