Job Overview:
We are seeking an organized and detail-oriented Administrative Coordinator to join our team. The Administrative Coordinator will:
Assist with the administration of ICLR’s London Climate Resilience Centre and the Institute’s roadshow program. (About 75% of your time.)

1. Support the ICLR Resilience Solutions program, as directed by the Managing Director, largely focused on managing visits to ICLR’s London Climate Resilience Centre.

2. Responsibilities will include scheduling internal and external events and ensuring there is no overlap/conflicting demands for exhibits, dealing with local and national moving/shipping companies when Centre exhibits are being sent to external events, and coordinating with representatives from host facilities (convention centres, hotels etc) and representatives/event coordinators from ICLR member companies etc.

3. Manage ICLR’s Roadshow Program which will initially involve coordinating events with municipal governments and ICLR member companies.

4. Ensure stakeholder satisfaction by following up throughout a given project with those involved to ensure expectations are met. Be prepared to discuss progress, opportunities, and successes throughout the project, sharing updates as required.

Support the administration of ICLR. (About 25% of your time.)

1. Support the administration of ICLR, as led by the Director of Administration/Corporate Secretary.

2. Develop a system to administer and oversee all ICLR project contracts with member companies, governments and other clients.

3. Regularly communicate with ICLR task owners to ensure that project implementation plans are in place and validate that projects adhere to deadlines so they advance satisfactorily.

4. Monitor project spending and assure timely recovery of payments from clients. Be prepared to discuss financial progress throughout the project.

5. Assist ICLR team members with scheduling and organizing both in-person and online meetings and events.

6. Complete various projects and tasks as required by the Managing Director, Director of Administration or other members of the ICLR team.

Reporting, required skills and qualifications:
1. The Coordinator's Direct Supervisors will be the Managing Director and Director of Administration/Corporate Secretary.

2. Minimum 5 years experience as an Administrative Assistant or comparable role including several years experience managing projects.

3. University or college degree in Business Administration or related field.

5. Excellent oral and written communication skills.

6. Effective problem-solving skills and interpersonal skills.

7. Ability to multi-task under pressure and without supervision.

8. High level of tact and diplomacy in dealing with confidential issues and high-level executives.

9. Experience managing corporate special events will be considered an asset.

10. Drivers licence and access to a vehicle for occassional travel to London, ON.
