Emergency Medical Care Inc. (EMC) is a wholly owned subsidiary of Medavie Health Services (MHS) that manages and operates ground ambulance, air medical transport and the medical communications operations in Nova Scotia through a performance-based contract with the provincial government's Emergency Health Services (EHS) Operations division and the Department of Health and Wellness. As well, EMC operates TeleHealth/811 medical communications for Nova Scotia and Prince Edward Island for the Department of Health.

We access all communities in Nova Scotia in a timely and efficient manner with our fleet of more than 180 ambulances and support vehicles operating out of 60+ stations. We respond to 165,000+ calls annually across the province, which are actively managed through the EHS Operations Medical Communications Centre, the hub of all emergency (911) and non-emergency (hospital transfers) medical calls.

The EHS Operations LifeFlight program provides even greater accessibility by responding to patients on scene or through inter-facility transports by our critical care team via helicopter, fixed wing, or ground ambulance.

In addition, paramedics in Nova Scotia participate in various programs both urban and rural such as community-based paramedic programs, collaborative emergency centres, and emergency preparedness and special operations, to name a few.

Reporting to the Director of Occupational Health, Safety & Wellness, the Administrator provides high level business and administrative support to the Occupational Health, Safety & Wellness division with responsibilities for coordinating day-to-day operations, maintaining accurate records, supporting program delivery and ensuring effective communication with internal and external stakeholders.

Administrative and Office Support
- Coordinate and schedule meetings, take meeting minutes and coordinate travel arrangements for the team.
- Maintain confidential records and documents in compliance with privacy legislation, including incident reports and health related documents.
- Prepare and distribute documents, reports, dashboards and meeting minutes.
- Order and manage inventory of safety supplies and wellness materials.
- Prepare and reconcile monthly visa statements, expense claims and invoices.
- Participate in projects and complete special assignments.

Communication and Coordination
- Respond to general inquiries regarding occupational health, safety and wellness programs and services.
- Produce correspondence, confidential reports, agendas, minutes and presentations.
- Proofread transcribed correspondence for grammatical accuracy, sentence structure and content.
- Coordinate and maintain community partner agreements as part of the Connect and Recover Program.

Data Management and Reporting
- Coordinate all reporting requirements and deliverables, ensuring all timelines are met.
- Maintain and update confidential health, safety and wellness records, spreadsheets and databases.
- Assist with data entry, tracking metrics, and generating reports for compliance and performance monitoring.
- Run reports and gather information from various internal and external software systems.
- Assist with the compiling of information into reports, dashboards, presentations and correspondence related to occupational health, safety and wellness programs.

Policy and Procedure Support
- Maintain occupational health, safety and wellness policies, safe work practices, resources, materials and intranet content.
- Monitor file retention guidelines for employee files.

Training and Awareness
- Distribute educational materials and promote awareness of health, safety and wellness practices.
- Help plan and execute employee health, safety and wellness initiatives.
- Track employee participation in health, safety and wellness training and initiatives.
- Respond to general inquiries about occupational health, safety and wellness programs.
- Work collaboratively with the Occupational Health, Safety and Wellness team to ensure the division’s deliverables are complete and timelines are met.
- Gather information and data on a regular basis from various stakeholders for reporting.
- Produce reports, presentations, KPIs and metrics.
- Collect investigation-related materials from leadership.
- Provide workplace injury data to MHS
- Provide regular updates to MHS regarding data requirements to comply with auditing needs
- Prepare and deliver information requests for the provincial Department of Labour, Skills and Immigration.
- Establish and update processes for document retention to ensure best practices and compliance with OHS and privacy legislation.
